Overview:
Provide secretarial and administrative support to the Director of the Palliative Care Department and the palliative care team members. Supports the delivery of the department’s services to UnityPoint Health -Des Moines customers by the successful and timely accomplishment of these duties. Contributes to the overall goals of the Palliative Care Department which ensures high quality patient care. Successful performance contributes to a holistic approach to the delivery of services, improved patient care and a high level of satisfaction from patients and families.

Responsibilities:- Acts as primary contact/receptionist for the office. Answers phone and responds to questions in a professional, customer friendly manner. Acts on information provided by caller when appropriate.
- Manages accurate department appointment calendar for the team.
- Organizes and makes available palliative care patient lists in Epic.
- Organize files, generates and sends memos, create documents and reports problems with the file server as needed to the computer services help line.
- Maintains confidentiality of letters, mail, fax’s and telephone messages.
- Monitors and orders all departmental supplies.
- Receives and coordinates PTO requests from team members to ensure adequate delivery of palliative care services.
- Maintains daily palliative care team schedule and the weekly provider on-call schedule.
- Serves as primary timekeeper of Kronos payroll
- Receives leased physician time sheets and follows prescribed procedures for their approval and submission.
- Operates all necessary software programs and electronic medical records, including Microsoft Office and Epic.
- Remains current on operation of office equipment and serves as a resource to others as needed. Responsible for repair requests if equipment fails.
- Prioritizes, manages and completes multiple tasks within assigned time frames.
- Professionally performs all secretarial duties as requested.
- Ability to travel to multiple work sites.
Education: High School diploma or equivalent required. Associate degree in secretarial area preferred.
