Colorado State University is seeking an Associate Director of Development in the Walter Scott, Jr. College of Engineering.

One of the eight academic colleges at CSU, the Walter Scott Jr. College of Engineering houses seven academic departments and schools, along with NOAA Cooperative Institute for Research in the Atmosphere (CIRA). Researchers in the Walter Scott, Jr. College of Engineering, who receive one-fifth of the university’s $546M sponsored support, continue to make important contributions to global challenges in water, environment, climate, health, infrastructure, and advanced technology.

Position Summary
The Development Operations Coordinator (DOC) is responsible for making decisions that impact students, faculty, staff, alumni, and donors of the Walter Scott, Jr. College of Engineering for years to come. The DOC will manage all operational aspects for the college’s development team. These include, but are not limited to, overseeing and ensuring the accuracy and integrity of donor data and gift funds, supporting donor relations and stewardship projects for the college. The DOC will create, maintain, and suggest improvements to processes that support frontline fundraisers, as the dean and college leadership in their donor interactions. Administrative tasks include assisting with calendars and scheduling, processing receipts and travel documents and other duties affiliated with cultivating and stewarding donors. This may include preparing internal and external development communications; visit/trip materials; entering contact reports in the CRM; developing presentations; assisting with fundraising material creation and editing; supporting proposal creation; pulling ad-hoc reports and co-managing assigned budgets. This position will report to the Executive Director of Development and will assist four college development officers.

Required Job Qualifications
  • Bachelor’s degree in business administration, communications, marketing, or related fields.
  • Minimum of 2 years’ experience in an administrative role, such as project or office management and/or customer facing role such as sales, marking, non-profit management or development office.
  • Proven familiarity with and demonstrated ability to use appropriate business software applications including but not limited to CRM software and Microsoft Office Suite.
  • Ability to work non-standard hours, including attending and supporting events early in the morning, evening, and some weekends.

Preferred Job Qualifications
  • The ability to handle sensitive information with discretion and maintain confidentiality where necessary.
  • Strong written and verbal communication skills and expertise in use of English grammar, punctuation, and syntax.
  • Must have strong organizational skills and demonstrated experience tracking and driving multiple projects simultaneously
  • Understanding or experience in donor relations, fundraising environment
  • Demonstrated ability to work professionally and independently with limited supervision on a fast-paced, high-functioning team.
  • Detail oriented in all communications and management of numerous projects.
  • Demonstrated problem solving skills and the ability to anticipate and address upcoming assignments and challenges with confidence.

Essential Duties

Gift Fund management and Compliance

Duty/Responsibility
  • Serve as the primary point of contact for the CSU Foundation on behalf of the college’s development team and college leadership, responsible for donation management, including but not limited to, tracking and supporting early stage gift processing for all incoming donor gifts to the college, transfer of funds between CSU Foundation and the college, reconcile allocation of donor’s gifts, create and track gift fund requests for new and modified funds, and updating or deleting expired funds.
  • Manage gift-in-kind process in partnership with team lead fundraisers, often working directly with the donor and in coordination with the team lead fundraiser, to collect, organize and compile all necessary details to submit and process gift-in-kind documentation and seek value for donation counting/reporting purposes.
  • Coordinating with CSU Foundation’s distribution of endowment fund reports, reviewing fund use to ensure donor intent complies, and supporting donor communications.
  • Manage weekly reconciling and reporting on new gifts to the college community, including the dean, executive committee, college department heads, and development team.

Duty/Responsibility
In support of the college’s Scholarship Coordinator and with the responsibility to ensure donor intent is met:
  • Support annual distribution of approximately $3,800,000 to fund 172 scholarship funds (six hundred individual student awards).
  • Ensure donor intent, as defined in associated fund agreements and award criteria, is met and scholarship funds are awarded accordingly in support of undergraduate and graduate students.
  • Manage the CSU Foundation scholarship annual fund balance report in coordination with the college’s scholarship coordinator, the development team, and director of the Engineering Success Center. This review informs scholarship award values and number of awards per scholarship fund.
  • Support the development team and dean with necessary donor communication regarding scholarship funding, criteria questions, or issues, suggested criteria changes, etc.

Donor Stewardship and Cultivation Support

Duty/Responsibility
Manage donor stewardship and cultivation efforts in support of the development team, dean, and college leadership:
  • Donor briefing management includes required research and compiling of information from various sources to draft donor briefings in support of upcoming donor visits with the dean and college leadership in coordination with team lead fundraisers.
  • Donor strategy meeting support includes taking minutes and supporting team on next steps in donor cultivation and stewardship efforts to drive major gift fundraising and donor retention efforts.
  • Manage annual donor stewardship program requiring use of the CRM to pull and organize donor lists, coordinate with college’s communications team to update templates, coordinate with mail services and other partners to manage various logistics to ensure successful project completion.
  • Manage donor acknowledgement process in support of development team and dean stewardship letters (execute weekly process, regularly update, and amend thank you templates, maintain/update policy, and procedures, etc.).
  • Support online giving fund representation, aligned with current dean priorities.
  • Requires attending and supporting some college events taking place early in the morning, evening and on weekends.

Development Team Operations

Duty/Responsibility
  • Quickly become knowledgeable and comfortable using the CRM, Advancement’s donor management programs Ascend, Salesforce, EverTrue, and LinkedIn Sales Navigator, marketing, databases, and other development databases essential to supporting donors.
  • Database management, entering and/or modifying contact reports, pulling alumni lists (by geographical radius, class years, giving levels, affinity codes, etc.), enter and update major gift proposals, and generate standard reports (ad-hoc reports, allocation lookup, weekly giving reports, etc.) on a as needed basis.
  • Responsible for onboarding new development team hires on behalf of the College and in collaboration with the University Advancement’s Human Resources team. Includes mapping out robust schedule over the first 2-4 weeks to ensure the new team member meets college leadership and learns about their associated department, building relationships with various colleagues in the college and in the advancement division.
  • Aid the development team with donor visits and associated travel. This includes preparing trip itineraries, creating strategic donor profiles, supporting donor stewardship plans and managing travel expenses and reimbursement.
  • Manage electronic record keeping, routing, and tracking documents for signatures.
  • Works in coordination with Development Operations Coordinator counterparts in other colleges in the division to learn, support, and innovate on various responsibilities.
  • Follow University Advancement policies in support of faculty and staff within the college to adhere to guidelines and best practices.
