Position: Director of Music and Administration

Reports To: The Pastor or presiding Clergy member of the parish
Supervision: Supervises parish staff and assists in employee reviews.
Responsibilities: This position is responsible for managing church operations including Music, Liturgy, Faith Formation ministries, Masses, Baptisms, Weddings, Funerals and other Liturgical events.
Duties and Tasks:
There are numerous duties and tasks associated with the responsibilities of the position. As the leader of a team, many of these duties will be assigned to staff personnel or parish volunteers. However, the overall responsibility for successful completion of duties and tasks rests with this position.
Necessary Experience: Management experience, preferably in a church environment, is necessary to develop the camaraderie necessary for team success. Prior team leadership experience is required.
Work Hours: Normal Work Hours are from 9:00 am to 4:00 pm, Tuesday through Friday. Normal Work Hours on Sunday vary, depending upon musical needs at Mass.
Salary: This is an exempt position with a starting salary dependent upon prior experience in conjunction with the responsibilities outlined herein. Benefits include health insurance benefits, vacation and sick time allowances, and retirement.

Supervisory Tasks
Supervisory Tasks
- Directly supervising and reviewing the activities of the office workers.
- Manages day-to-day operation of the parish administrative offices.
- Responsible for supervising all secretarial duties associated with servicing a parish office, including overseeing work efforts of outside servicing contractors.
Accounting Related Tasks
- Coordinates and schedules weekly income collection counters.
- Code and obtain authorization for all invoices submitted to the diocesan accounting office or oversee that they are done by other staff or workers.
- Works with the Finance Council to establish a yearly budget.
Parish Life Ministries/Faith Formation
- Provide administrative support to catechists/youth leaders
- Provide organizational support for meetings.
- Support lay volunteers who lead Faith Formation events.
- Act as lay liaison with diocesan offices for Faith Formation/Sacrament Recipients, Catechists, etc.
Parish Life Ministries/Liturgy
- Oversee liturgical environment, working with the Pastor and Clergy
- Scheduling Lay Liturgical Ministers
- Working and communicating closely with Lay Liturgical Ministers
- Assist with formation and training of Lay Liturgical Ministers as requested by the Pastor
- Providing liturgical options to the Pastor and other clergy for feasts, High Seasons, special Masses and liturgies
- Responsible for maintaining supplies for liturgies (hosts, wine, candles, seasonal booklets, etc.)
- Preparation of weekly documents for use in Mass and liturgies (announcements, prayers of the people, etc.)
- Responsible for Altar Guild activities.
Parish Life Ministries/Music
- Select music for Masses and other liturgies.
- Musically accompany Masses and liturgies at the parish
- Direct and develop choirs at the parish.
- Responsible for all administrative duties associated with the Music function of the parish.
- Act as lay liaison with diocesan/Cathedral offices for musical matters.
Parish Life Ministries/Weddings/Funerals/Baptisms
- Provide Administrative Support for these activities at Sacred Heart, including worship aids, collecting documents, maintaining files of the recipients, logging these events in sacramental book, etc.
- In unison with the Pastor and Clergy, plan these liturgies and events with the recipients
- Provide music for these liturgies and events
- Prepare the environment and provide supplies for all liturgies and events.
Summary:
The position requires excellent leadership and communication skills. Management experience, preferably in a church environment, is necessary to develop the camaraderie necessary for team success. The candidate must be able to play the organ and have the knowledge to coordinate the activities associated with Liturgical Ministry.
Prior experience with respect to exercising Catholic Parish Life Ministry activities is equally important. The person filling this position will be asked to attend the quarterly Finance and Pastoral Council meetings, the objective being to ensure “singleness of focus” in the overall administration of the parish.
