About Your Role
As a Dispatcher you will be the critical link between our warehouse, delivery teams, and event sites. Your primary responsibility will be to coordinate the scheduling and dispatch of trucks, drivers, and crew to ensure seamless event setups and breakdowns. You’ll be working in a fast-paced environment where problem-solving, clear communication, and attention to detail are essential.
What’s a Typical Day Look Like?
As a key member of our operations team, you play a vital role in optimizing delivery operations for maximum efficiency. Your responsibilities include working closely with the Warehouse Director and Director of Operations to coordinate and execute daily delivery plans. You’ll also collaborate with subcontracted labor as needed and serve as a travel coordinator for delivery-related logistics.
Your day typically begins around 7:00 AM, starting with a review of the daily delivery schedule and confirming assignments with drivers and crews. Throughout the day, you’ll actively monitor vehicle locations, oversee event timelines, and make real-time adjustments to dispatch plans in response to unexpected changes. Maintaining constant communication with drivers, customers, and internal teams is essential to ensure timely deliveries and pickups.
Your commitment includes on-call availability by text and/or phone on evenings and weekends.
What You'll Do
Your responsibilities will include, but are not limited to:
- Route Coordination: Plan and optimize delivery and pick-up routes for efficiency and timeliness.
- Crew Scheduling: Assign drivers and setup crews based on availability, skill level, and event requirements.
- Real-Time Logistics Management: Monitor vehicle locations and communicate with drivers throughout the day to manage delays, traffic, and unexpected changes.
- Communication Hub: Serve as the main point of contact between warehouse staff, drivers, and on-site event coordinators.
- Problem-Solving: Quickly adjust plans and troubleshoot issues such as last-minute client requests, vehicle breakdowns, or staffing shortages.
- Compliance & Safety: Ensure all drivers adhere to DOT regulations, company policies, and safety standards. Monitor compliance with Department of Transportation laws and regulations.
- Documentation & Reporting:
- Maintain detailed records of deliveries, pick-ups, fuel usage, mileage, and any incidents.
What We’re Looking For
You are a detail-oriented, highly organized individual with strong communication skills who thrives in a fast-paced, dynamic environment.
- Experience:Minimum of 2 years in dispatch, logistics, or event rental coordination; experience in the event industry is a plus
- Technology Skills: Comfortable using dispatching software, GPS tracking systems, and Microsoft Office / Google Suite
- Problem-Solving Ability: Ability to think quickly and adapt to changes while keeping operations running smoothly
- Excellent Communication: Strong verbal and written communication skills to relay critical information effectively
- Time Management: Ability to manage multiple schedules, prioritize urgent tasks, and ensure timely execution
- Team Player: Works well with warehouse teams, drivers, and clients to create a seamless logistics operation
- License & Compliance Knowledge: Understanding of DOT regulations, fleet maintenance, and driver safety requirements is a plus
