The Opportunity: Documentation Assistant
The main objective of this position is to perform purchasing and administrative duties for departmental operations and special projects.
What You’ll Do: Responsibilities
- Maintains documentation for all activities within the responsible department and assigned projects. Stores, catalogues, and retrieves documents.
- Maintains and updates necessary information, such as departmental files, forms, policies, procedures, manuals, and other similar documentation.
- Prepares, edits, and reviews a variety of materials and documentation.
- Creates, processes, and fulfills requisitions (developing purchase orders, ordering equipment, and ensuring respective departments and projects have the resources, supplies, and tools necessary for daily activities).
- Investigates and resolves invoice discrepancies by conducting research, liaising with relevant departments and vendors, and ensuring timely resolution.
- Ensures invoices are handled timely and accurately.
- Performs administrative tasks in support of the department.
- Tracks invoices and requisitions to appropriate budget line items and ensures budget adherence and proper account coding.
- Assists team members and management in daily operations with requests as needed.
- Sorts and distributes departmental mail.
- Performs other duties as assigned.

Education
High School diploma or GED equivalent required.
Licenses, Certifications, and Credentials
Transportation Worker Identification Credential (TWIC)
Work Experience
One year of relevant experience.
