Executive Assistant to Chief Legal Officer and Chief Operating Officer
Reports To: Chief Legal Officer & Chief Operating Officer

Status: Full-time, Exempt
Position Summary
The Executive Assistant (EA) will serve as the primary administrative and operational support for the Chief Legal Officer and the Chief Operating Officer of the Harris County – Houston Sports Authority (HCHSA). The EA will manage a broad range of responsibilities, including complex calendar management, meeting coordination, communication with internal and external stakeholders (including the Board of Directors), and the preparation of critical documents. This role is ideal for a highly organized, proactive professional with strong communication skills, discretion, and the ability to balance multiple priorities. Experience working with or within government entities and non-profit organizations is preferred. A working knowledge of sporting events, community activations, and large-scale event operations is a plus.
Key Responsibilities
Executive Support
· Manage daily calendars for the CLO and COO, coordinating internal meetings and external engagements.
· Anticipate scheduling needs and ensure all materials, logistics, and follow-ups are handled efficiently.
· Arrange complex travel, including multi-leg itineraries and compliance with internal policies.
· Draft agendas, record meeting notes, and track action items to ensure timely completion.
Administrative & Operational Support
· Prepare, edit, and proofread correspondence, presentations, legal documents, and internal communications.
· Process contracts and other sensitive materials with a high degree of accuracy and confidentiality.
· Support legal and compliance operations under the guidance of the CLO, including document tracking and legal file organization.
· Provide project coordination and administrative support to the COO across operational initiatives and agency programs.
Communication & Liaison
· Serve as a trusted point of contact for the CLO and COO, interacting with senior leaders, board members, external partners, and public officials.
· Manage and prioritize incoming communication, responding or redirecting as needed.
· Foster positive internal coordination across departments to support executive directives.
Project & Event Support
· Assist in preparation for board meetings, legal proceedings, and strategic initiatives.
· Support special projects, including sports events and community activations, by helping coordinate logistics, communications, and follow-ups.
· Track timelines, deliverables, and key contacts related to multi-stakeholder efforts.
Qualifications & Requirements
· Bachelor’s degree preferred; an Associate’s degree with substantial relevant experience will be considered.
· Minimum 5 years of experience supporting C-suite or senior executives, preferably in legal, operational, or government-related environments.
· Prior experience working with or supporting government agencies, public entities, or non-profit organizations is highly beneficial.
· Working knowledge of sporting events, venue operations, or community event activations is a plus.
· Excellent communication, writing, and interpersonal skills.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat and digital file management systems.
· Ability to maintain confidentiality, prioritize tasks, and adapt in a dynamic, deadline-driven environment.

Pay: $59,259.00 - $65,951.00 per year
