The successful applicant will be working directly with a business owner who’s built and scaled multiple small businesses. This means the role won’t be reporting to a CEO of a large corporation, but rather someone who’s hands-on, agile, and constantly innovating. This organization is looking for a unique individual to join its team as an Executive Assistant & Interim Integrator. This isn't just an administrative role; it's a foundational position with significant growth potential. The individual will operate at a high level, becoming indispensable in streamlining operations, managing key initiatives, and eventually growing into an EOS Implementer for the agency.
What You'll Do:
As the Executive Assistant & Interim Integrator, the successful applicant will be the backbone of our operational efficiency, wearing multiple hats and ensuring everything runs smoothly. Responsibilities will include, but are not limited to:
Operational Management:
- Business Licensing & Compliance: Proactively manage all business licenses, renewals, dues, and applications, including annual inspections.
- Insurance Management: Oversee insurance renewals through our broker and annually shop for competitive insurance quotes.
- Financial Oversight: Oversee accounts receivable and payable, ensuring timely and accurate transactions.
- Audit Coordination: Manage the calendar and logistics for certified audits through various organizations.
- Membership Management: Manage and renew trade association memberships.
- Travel Coordination: Arrange comprehensive travel plans and itineraries for executive team members attending functions.
- Compliance & Records: Ensure all audits are completed for staff records, policies, procedures, and client files.
Executive Support & Communication:
- Inbox & Calendar Management: Efficiently manage executive inboxes, prioritize communications, and streamline appointment booking processes.
- Meeting Preparation: Prepare detailed meeting agendas for executive-led meetings, ensuring all necessary materials are ready.
- Internal Communication: Facilitate clear and concise communication across departments and with external partners.
Technology & Systems:
- Tech Stack Management: Stay up-to-date with the latest technological advancements and suggest appropriate tech solutions and tools to optimize agency operations.
- Apple Business Manager: Manage Apple Business Manager, including equipment setup, maintenance, and seamless transfer of equipment to new employees.
- CRM & Project Management Tools: Oversee and optimize the use of our CRM and project management tools to enhance workflow efficiency.
EOS Implementation & Growth:
- KPI Tracking: Systematically track Key Performance Indicators (KPIs) and prepare reports for review.
- 1:1 Meeting Coordination: Schedule and track 1:1 meetings as part of our EOS framework, ensuring accountability and progress.
- Process Documentation: Assist in documenting and refining operational processes and procedures to enhance efficiency and scalability.
- EOS Tool Implementation: Support the implementation and adherence to EOS tools and disciplines across the organization (e.g., Scorecard, Rocks, L10 Meetings).
- Strategic Support: Provide high-level support in strategic planning sessions and help translate vision into actionable plans.

Compensation:
The compensation range for this position is $62,000 - $75,000 annually, commensurate with experience and qualifications.
Location:
This is primarily a remote position. However, candidates must be local to Missouri. The ability to attend in-person quarterly meetings at our main office, and occasionally travel for other company events, is required.
