The Executive Assistant to the President reports directly to the Chief of Staff and provides high-level administrative support to the College President. Serving as the primary point of contact for internal and external stakeholders, this role demands exceptional organizational skills, sound judgment, and the ability to anticipate needs while managing multiple priorities in a fast-paced environment. The ideal candidate will combine strong administrative capabilities with proficiency in modern technology solutions, including AI tools, to enhance the President’s effectiveness and ensure the smooth operation of the Office of the President.
Duties and Tasks:
- Manage the President’s complex calendar, prioritizing and scheduling meetings, appointments, and events.
- Coordinate with senior leadership, board members, and external stakeholders to efficiently arrange meetings and engagements.
- Provide timely reminders and prepare comprehensive briefing materials for all scheduled activities.
- Proactively anticipate and resolve scheduling conflicts.
- Protect the President’s time by ensuring strategic priorities are appropriately supported and balanced.
- Plan and arrange detailed travel itineraries, including transportation, accommodations, and dining in line with the President’s preferences.
- Prepare complete travel packages with agendas, contact information, directions, and supporting documents.
- Manage travel expense reports and reimbursement processes in a timely manner.
- Coordinate with hosts and event organizers to ensure seamless and well-executed travel experiences.
- Make regular requests from employees for updates and input on college decisions and share feedback with supervisors for inclusion in the NOVA Brief.
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

- Experience with calendar management systems (e.g., Outlook, Google Calendar) and office productivity suites (e.g., Microsoft Office, Google Workspace).
- Experience managing office operations.
- Experience supporting a President, Chancellor, or C-level executive, preferably in higher education.
- Experience integrating AI tools and technologies into office operations to enhance efficiency.
- Proficiency in project management, such as Asana, Trello, or Microsoft Project.
- Experience with budget tracking and basic financial management in a professional setting.
- Familiarity with the operations of public institutions or community colleges.
