Position Summary
We are seeking a versatile and proactive Executive Assistant & Practice Coordinator to serve as the operational backbone of our practice. This role requires a self-motivated professional who can seamlessly manage diverse responsibilities across client services, business development, administrative operations, and strategic support. The ideal candidate will thrive in a dynamic environment while maintaining exceptional attention to detail and client service standards.
Key ResponsibilitiesClient Services & Support (40%)
- Review and enter client tax returns with accuracy and attention to detail
- Manage bookkeeping and data entry for client accounts
- Conduct preliminary auditing and financial record reviews
- Coordinate client communications via phone and email
- Schedule and coordinate client meetings and consultations
- Assist with strategic advisory presentations and materials
Business Development & Marketing (30%)
- Execute comprehensive marketing strategies across multiple channels
- Create engaging content for email marketing, Facebook, TikTok, LinkedIn, Instagram, YouTube, Twitter, and Reddit
- Develop and implement social media campaigns that drive client acquisition
- Conduct targeted cold calling and email campaigns to prospective clients
- Identify and pursue new client opportunities, particularly in pharmacy and healthcare sectors
- Coordinate and support attendance at networking events and industry conferences
- Create and distribute weekly newsletters and marketing materials
- Maintain and update client prospect databases
- Monitor social media analytics and optimize content performance
Administrative & Operations Management (30%)
- Manage all filing systems and document organization (digital)
- Handle incoming phone calls and email correspondence
- Coordinate interviews and onboarding processes
- Provide administrative support for training sessions and advisory events
- Maintain practice management systems and client databases
- Prepare reports and presentations for client meetings
- Support event planning and coordination
Required QualificationsEssential Skills & Experience
- Administrative Excellence: 3+ years of executive assistant or administrative coordination experience
- Financial Acumen: Experience with bookkeeping, tax preparation software, or accounting systems (QuickBooks, Drake, ProSeries, etc.)
- Social Media Expertise: Strong experience creating content across multiple platforms including email marketing, Facebook, TikTok, LinkedIn, Instagram, YouTube, Twitter, and Reddit
- Communication Skills: Exceptional written and verbal communication abilities
- Technology Proficiency: Advanced Microsoft Office Suite, CRM systems, and social media management platforms
- Client Service Orientation: Proven track record of professional client interaction and relationship management
- Self-Sufficient: Ready to hit the ground running with minimal training required
- Technical Operations: Ability to efficiently manage calls through Talkroute, schedule and edit meetings via Zoom or Calendly, and communicate via instant messages instead of phone calls for urgent matters and clarifications
- Creative Problem-Solving: Ability to think creatively and handle situations independently after two to three weeks of training
- Content Creation: Quick learner who can effectively create email and social media content using platforms like Constant Contact and other relevant systems
- Multi-tasking Excellence: Can multitask efficiently and thrive in a fast-paced environment while taking initiative and confidently leading work responsibilities
Preferred Qualifications
- Experience in accounting, tax preparation, or financial services industry
- Knowledge of pharmacy or healthcare business operations
- Background in marketing or business development
- Familiarity with regulatory compliance requirements
- Associate's degree in Business, Accounting, or related field

Compensation Structure
$18-20/hour - For candidates with:
- Strong administrative experience but limited financial services background
- Willing to learn tax software and bookkeeping systems
- Some marketing/social media experience
- Strong experience in email, Facebook, TikTok, LinkedIn, Instagram, YouTube, Twitter, Reddit content creation
$22-24/hour - For candidates with:
- 2-3 years financial services or accounting experience
- Proficiency with QuickBooks, tax software, or similar systems
- Proven business development or marketing track record
- Client relationship management experience
- Advanced social media content creation and marketing campaign experience
$25-26/hour - For candidates with:
- 3+ years in accounting/tax preparation
- Healthcare or pharmacy industry experience
- Demonstrated success in business development
- Can hit the ground running with minimal training
- Expert-level social media marketing with proven ROI results

Reporting Structure
This position reports directly to the Certified Strategic CFO Advisor and will work closely on all aspects of practice operations, client services, and business development initiatives.
