Position Summary:
We are seeking a detail-oriented and proactive Field Operations & Service Coordinator to support the daily operations of our landscaping and contracting businesses. This position plays a key role in managing client estimates, coordinating team readiness, and ensuring timely invoicing. The ideal candidate is a strong communicator who can seamlessly manage scheduling, field coordination, and administrative responsibilities.
Key Responsibilities:Scheduling & Client Coordination
- Schedule estimates for landscaping and contracting services.
- Communicate with clients to confirm appointments and follow up as needed.
- Maintain an organized calendar of appointments and deadlines.
Billing & Invoicing
- Prepare and send invoices for landscaping and mowing services.
- Create invoices for contracting work based on completed services and job documentation.
- Track and follow up on unpaid invoices to ensure timely collections.
Field Operations Support
- Coordinate daily equipment and supply needs for all field crews.
- Ensure crews are properly equipped for scheduled jobs and address last-minute needs or shortages.
- Maintain equipment logs and report maintenance or inventory concerns.
Estimating
- Conduct on-site estimates for landscaping and contracting projects.
- Accurately document scope of work, measurements, and client needs to support proposal development.
- Prepare basic cost proposals or forward collected data to estimator/project manager.
Qualifications:
- Experience in administrative support, field coordination, or billing (experience in the landscaping or contracting industry is a plus).
- Excellent organizational and time management skills.
- Strong communication skills with a customer-first mindset.
- Proficiency in Microsoft Office and invoicing software (e.g., QuickBooks, Jobber, Service Autopilot).
- Valid driver’s license and reliable transportation (required for site visits).
- Ability to work both in-office and on-site as needed.
Working Conditions:
- Primarily office-based with regular travel to job sites for estimates and team coordination.
- May occasionally require lifting or moving equipment (up to 25 lbs).
- Standard business hours with flexibility for occasional early morning or evening coordination.
Compensation & Benefits:
- Pay Rate: $18–$20 per hour (commensurate with experience)
