Assist in the coordination of the first year review process for both domestic and international applicants -
- Conduct annual on-site review training for OUA and college staff and off-cycle training for new reviewers; assist in compiling and updating review process written documentation.
- Ensure that reviews are consistent within established guidelines and completed by set deadlines.
- Participate in hiring, training and supervising part-time first year review staff.
- Audit domestic and international application reviews for both quantity and quality; address issues with staff and direct supervisors.
- Provide feedback to supervisors to be used in annual performance reviews.
- Read and evaluate first year admission applications including making decisions and documenting the reasons for such decisions; serve as a chair of one or more review committees.
- Monitor several application error reports daily. Ensure that corrections are made immediately and follow-up/training is conducted with staff members creating the errors.
- Assist in coordinating the backend process of verifying self-reported academic data against official documentation, which includes communications to students who miss deadlines, rescinding admission offers and placing registration holds.
- Be a contact for questions pertaining to high school course offerings and grading scales, including a strong familiarity with our feeder schools.
- Create and update admissions-related correspondence to first year applicants.
- Coordinate external events which explain our application review process.
- Assist in the testing of homegrown and vendor applications and iAdmit during upgrades, enhancements or fixes.
- Stay abreast of current nation-wide trends involving first year admission, especially topics involving the review process and any relavant legal matters.
- Participate in an annual evaluation of the first year admission cycle. Help to identify problems in the process and initiate changes in functional and technical procedures to resolve such issues.
Required Qualifications -
- Bachelor’s degree in business, communication, education, humanities, public relations, social sciences, or a field related to the position.
- Two years (24 months) of professional work experience in admissions, records, registration, and/or closely related experience within an educational setting.
- Demonstrated experience with undergraduate admission review.
Preferred Qualifications -
- Master’s degree

- Strong interpersonal and leadership skills to successfully interact with a diverse group of individuals both within OUA, across the campus and outside the University.
- Excellent oral and written communication skills.
- Keen attention to detail and strong organizational skills.
- Demonstrated skills with personal computers and data systems, especially Banner, iAdmit, and Slate experience.
- High achievement in previous work and/or educational experiences.
- Enthusiastic, self-starter approach to work and commitment to delivery of high-quality service in a timely manner.
- An understanding, sensitivity, and commitment to affirmative action in educational access and employment.
- Diplomacy and tact are requisite for enforcing admissions policies and procedures while at the same time not alienating the individuals to whom we must say no.
- Ability to exercise good judgment in the interpretation of admissions policy and in the handling of exceptional cases.
Appointment Information
This is a 100% full-time Civil Service 2753 - Admissions and Records Associate position. The expected start date is as soon as possible after the close of the search. The budgeted salary range for the position is $48,000 - $52,000 annually. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. Sponsorship for work authorization is not available for this position.
