We are currently seeking a full-time accountant and personal assistant to support our operations, financial functions, and daily administrative needs.
Position Summary
The Full-Time Bookkeeper & Personal Assistant plays a key role in managing financial transactions, ensuring accurate reporting, and supporting both corporate and personal needs for the ownership and business entities. This role is ideal for a self-starter who is highly organized, detail-oriented, and comfortable balancing a variety of financial and administrative responsibilities.
Key Responsibilities
● Execute accounts payable and receivable processes, with monthly reconciliation.
● Provide clients with timely and accurate accounting of receivables.
● Manage payroll processes on a bi-monthly basis, including submission of payroll taxes and IRA contributions.
● Handle HR-related duties including payroll administration, medical insurance benefits, and IRA transfers.
● Code and process credit card transactions and ensure proper classification for income statements and balance sheets.
● Manage and reconcile multiple bank accounts; ensure accurate transaction coding and maintenance of balances.
● Prepare and pay monthly sales tax.
● Enter all checks into bank security systems and oversee personal and company banking reconciliations.
● Oversee corporate renewals on an annual basis.
● Administer and ensure accuracy of commercial and residential insurance policies, including building and auto coverage.
● Perform administrative property management for two personal residences.
● Coordinate and maintain positive working relationships with the company’s tax accountant, financial planner, and private banker.
● Manage calendar and appointments for ownership, including scheduling meetings and handling reminders.
● Assist with personal errands and coordination of travel, events, and appointments.
● Handle confidential information with discretion and professionalism.
● Support other administrative tasks as needed.
Qualifications
● 5+ years of accounting, bookkeeping, or administrative assistant experience.
● Proficiency in QuickBooks or similar accounting software.
● Strong knowledge of payroll systems and HR administration.
● High attention to detail with excellent organizational and time management skills.
● Ability to manage confidential information with discretion.
● Proactive communication and interpersonal skills.
● Reliable, trustworthy, and adaptable to changing priorities.
