HR Administrative Assistant
Jackson Systems, an ‘Indiana Best Places to Work’ and an award-winning distributer of HVAC controls, is currently seeking an energetic and entrepreneurial HR Administrative Assistant.
The HR Administrative Assistant is a hands-on role that provides payroll, accounting, and HR support to the Jackson Systems team. The role is critical in executing our people initiatives, providing great internal customer support, and driving HR functional excellence and process improvement. This role reports directly to the HR Manager.
In this role, you'll perform the following tasks:
- Organize and maintain personnel records
- Serve as a resource for all timekeeping questions or updates
- Enter accurate timekeeping data for all field employees
- Process weekly and biweekly payroll
- Generate and distribute regular payroll reports to HR and Finance departments
- Create and submit WH-347 forms for certified payroll reporting
- Provide support to HR Manager by developing and completing miscellaneous audit reports and metrics
- Keep HRIS system updated with employee payroll information and any changes in employment status.
- Perform benefits administration, including managing enrollments/terminations, and connecting with vendors/brokers to provide support and resources to employees.
- Assist with monthly commission reports, Power BI benchmarking reports, and data uploads
- Track monthly rebate and claim-back redemptions and communicate with vendors to reconcile any outstanding credits
- Support special projects and events related to the day-to-day operations of the HR function
- Be an ambassador of the Jackson Systems Core Values
Successful Candidates Will Demonstrate:
- General understanding of payroll processes and regulations
- Prior experience with certified payroll and prevailing wage for government contracts is a bonus, but not required
- Background in payroll, accounting, administration or finance
- Ability to manage detailed information, ensuring accuracy and timeliness in payroll and data processing.
- Proficient in using HRIS systems (UKG), payroll software, and Microsoft Office (Excel, Word).
- Strong verbal and written communication skills to collaborate effectively with cross-functional teams.
- Ability to resolve payroll-related issues and respond to employee inquiries with a solutions-oriented mindset.
- Enthusiastic team player who is highly collaborative and willing to contribute to the company culture.
Qualifications:
- 1-2 years of related HR experience, payroll, administrative and/or equivalent combination of education and experience preferred
- High School Diploma, or equivalent, required
