Specific Elements of the Job
1. Keep choice of person served at the utmost importance. Assure that efforts are undertaken to implement the
individual choices and preferences of person being served.
2. Maintain Capabilities ethical professionalism at all times.
3. Responsible for maintenance of acceptable standards related to CARF Accreditation, U.S. Department of Labor
(Federal Wage and Hour Division) and other regulatory standards as appropriate.
4. Respect the needs, requirements and referral guidelines of funding source representatives.
5. Build and maintain professional relationships with local funding source representative and internal staff.
6. Address input and concerns from staff, funding sources, persons served, families, and employers. Inform managers
and leaders of any input/concerns of funding source representatives and office needs.
7. Ensure quality service delivery, documentation and processing of these documents for assigned office locations.
8. Collaborate with hiring manager regarding information pertinent to the development of training plans for new
stakeholders/employees.
9. Substitute for other Administrative Assistants as needed in emergency circumstances.
10. Maintain detailed knowledge of entire process of service through billing. This position may be asked to assist in
resolving concerns as needed i.e. reviewing reports, handling authorizations, etc.
11. Maintain local office health and safety procedures including, but not limited to, health and safety drills, stocking of
first aid kits, emergency contact binders, etc.
12. Communicate and interact with coworkers, persons served and all significant people in the lives of people served by
Capabilities to ensure successful employment and goals are achieved. Communicate weekly with the local Branch
Managers.
13. Participate in performance evaluation and annual reports as requested. Work to achieve program goals and the
mission of Capabilities as specifically defined by management team.


Recruitment
1. All elements of other signed job descriptions as appropriate. (This position is not a singular role for any one staff
person.)
2. Communicate verbally and through written documentation with potential candidates, applicants, Capabilities staff,
funding source representatives, and other Capabilities customers.
3. Provide a positive, inspiring, transparent, honest, and interactive experience for potential candidates and applicants.
4. Maintain accurate applicant tracking information.
5. Contribute to reports for compliance documents such as CARF, DoDD, OOD, BWC and other entities in direct
relationship to Leaders and Managers with input from all stakeholders internal and externally.
6. Actively seek out networking opportunities to market/present employment opportunities at Capabilities.
7. Advertise Capabilities external job postings in order to attract potential candidates.
8. Maintain communication with the hiring manager to tailor the pre‐employment process to attract appropriate
candidates.
9. Prescreen candidates to determine potential cultural fit and aptitude to meet the requirements of the positions.
10. Schedule and coordinate interviews, job shadows and assessments with candidates and hiring managers.
11. Completes reference checks for top candidates.
12. Maintain contact with applicants up until the point a job offer is made.
13. Attends job fairs and events as requested.
14. Maintains a clean and orderly office environment in conjunction with the Cleaning and Maintenance staff.


Job Qualifications
1. A high school degree or its equivalent is required. A college degree with successful related work experience is desired.
Education and experience in the following fields are preferred: human resources, rehabilitation, social work, special
education, public relations, business, accounting, communications, organization management or closely related
discipline. Experience and successful related work experience can be substituted at the discretion of the owner(s).
2. It is preferred that this position have an awareness of and experience in working with people with disabilities. A
positive attitude can be substituted for experience at the owner(s)’s discretion.
3. Demonstration of excellent oral skills; effective written skills and documentation, and strong teamwork skills.
4. Effective transportation to office.
5. Effective means of communication between candidates and staff.
6. Willingness to work flexible, varying hours, including evenings and weekends as needed.
7. Knowledge of two or more of the following is preferred: human resources, marketing, typing (Minimum 40 words per
minute), supported employment, marketing, job development, public relations, community training with individuals
with severe disabilities, and/or developing community connections.
8. Proficiency in Microsoft Word or Excel.
9. Cheerful, positive person who does their job with enthusiasm and exhibits this to Capabilities staff, other stakeholders,
person served, perspective employers, and owner(s). This position sets the example for the staff, persons served and
other stakeholders.
10. Physical ability to complete day to day duties which could include lifting up to 20 pounds, moving/setting up office
furniture and equipment, and sitting for up to 4 hours at a time.
