Therapeutic Focus is a family-oriented outpatient pediatric therapy clinic seeking a highly motivated, passionate, coachable, tech savvy and creative Administrative Assistant to join our growing team. Our mission is to alleviate cognitive and developmental deficiencies in children by providing safe, ethical and individualized treatment services that will prepare them to thrive within society. We provide outpatient and school-based therapy to children in Arkansas and Tennessee.
We are currently looking for a Part Time Administration Assistant to provide in person services in an outpatient clinic (located in West Memphis, AR).
Knowledge/Skills/Abilities
- Excellent communication skills both verbal and written
- Call center experience or customer service experience preferred
- Ability to perform proficiently Microsoft Word, Excel, Powerpoint, Outlook, Google Suites
- Ability to schedule appointments + EMR (electronic medical record system experience) and proactively communicate with clients is required
- Ability to type 40+ Words per minute
- Ability to maintain patient records and reports
- Ability to maintain a positive, friendly, and polite attitude with all employees and customers
Key Job Responsibilities
- Welcome and provide customer support to staff, and clients
- Schedules patient appointments and supports visitors
- Maintain and support satisfaction surveys and provide general information as appropriate
- Exhibits polite and professional communication via phone, e-mail, and mail
- Ability to multitask and perform administrative support tasks for staff
- Provides administrative support to ensure efficient operation of the office, including maintaining company files
- Answer all phone calls, sends faxes, calls doctor’s offices, with high level of professionalism and transfer inquires to appropriate staff when necessary
- Carries out administrative duties such as making charts, filing, typing, copying, scanning, and faxing
- Ensures operation of equipment by completing preventive maintenance requirements, notifying supervisors of needed repairs (printer/fax, PC, etc)
- Maintains office supplies and inventory
- Responsible for opening and/or closing clinic during shift
- Assist with admission paperwork, and inventory
- Ability to lift a minimum of 20 lbs.
- Assist with purchasing of clinic supplies
- Additional responsibilities may be added
Qualifications
- High school diploma or equivalent (GED) education required
- Valid driver’s license and current automobile insurance
- Two years of Administration Experience is required and two years of Customer Service is preferred
- Ability to pass a background check
Schedule:
- Onsite- Monday to Thursday (Part-time)
