REPORTS TO: Director of Operations
CLASSIFICATION: Full Time, 1.0 FTE, Exempt
LOCATION: Main Office (NE Portland), Travel to other office sites as needed
COMPENSATION: $68,000 – $85,000 annually, depending on experience (DOE)

POSITION DESCRIPTION
The IT Manager is responsible for the overall planning, organization, and execution of all IT functions within the organization. This includes managing the infrastructure, systems, security, user support, vendor relationships, and strategic IT initiatives. The IT Manager ensures that technology systems support the organization’s operations, align with its mission, and enable staff to work efficiently, securely, and collaboratively.
RESPONSIBILITIES
System Administration & Oversight Responsibilities:
- Oversees the deployment, monitoring, maintenance, development, upgrade, and support of all IT systems, including telecommunications, servers, operating systems, computers, printers, mobile devices, and related peripherals.
- Manages the financial aspects of the IT function, including purchasing, budgeting, and ongoing cost review, in collaboration with the Director of Operations and Finance Team.
- Supervises the provision of end-user services, including help desk and technical support.
- Develops and implements IT policies and procedures, including those related to architecture, security, disaster recovery, asset management, software procurement, and service delivery.
- Administers and negotiates vendor, consultant, and outsourced IT service contracts.
- Oversees data privacy compliance and the organization’s cybersecurity posture, ensuring infrastructure and practices align with current standards.
- Manages staff access and the responsible use of privacy-compliant AI tools and technologies.
Strategic Information Technology Oversight:
- Leads technology-related project management efforts, including planning, evaluation, testing, and implementation of systems and platforms to improve organizational efficiency.
- Works cross-functionally to define agency requirements for new technology solutions, ensuring alignment with business goals and user needs.
- Leads IT strategic planning, including fostering innovation, evaluating emerging technologies, and organizing the allocation of technical resources.
- Develops business case justifications and cost-benefit analyses for IT investments.
- Benchmarks, analyzes, and reports on IT infrastructure performance, making recommendations for improvement and growth.
- Tracks and reports key performance indicators (KPIs) related to IT service delivery, infrastructure performance, and user satisfaction.
- Leads IT-related training initiatives, including regular phishing simulations, password policy enforcement, two-factor authentication, and onboarding support for new platforms.
Communication & Support:
- Maintains regular communication with leadership, department heads, and end-users to provide updates, gather input, and ensure alignment of IT systems with organizational needs.
- Oversees the help desk ticketing system, ensuring timely triage, escalation, and resolution of user issues.
- Delivers presentations and training sessions to staff and stakeholders regarding technology rollouts, new systems, refresher reminders, and key security practices.
- Demonstrates professionalism and responsiveness in handling urgent issues and service interruptions.
Requirements
Required Skills, Knowledge & Abilities:
- 3–5 years of progressively responsible experience in IT support, systems administration, infrastructure engineering, or cybersecurity.
- Preferred: Experience in nonprofit sector or understanding of nonprofit program operations.
- Preferred: Familiarity with HRIS systems, or case management software.
- Preferred: Bilingual ability preferred: written and verbal communication skills in Spanish and English including providing training and presentations in both or either languages.
- Compliance: Experience with data privacy standards such as HIPAA, FERPA, or GDPR.
- Remote Tools: Experience managing distributed teams or supporting remote users using collaboration tools like Slack, Zoom, Google meets Teams, etc.
- Bachelor’s degree in Information Technology, Computer Science, or related field – or equivalent combination of education and experience.
- Experience supporting macOS environments, Google Workspace, and mobile device management platforms.
- Strong technical knowledge of hardware and software deployment, patching, system upgrades, scripting, and application packaging.
- Familiarity with network security, firewalls, endpoint protection, and general cybersecurity frameworks.
- Demonstrated ability to write and maintain clear technical documentation.
- Excellent communication and customer service skills, including the ability to explain technical issues in plain language.
- Strong analytical and problem-solving skills.
- Experience in project management and implementation of IT systems and platforms.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Valid driver’s license and access to a reliable, insured vehicle.
