Summary of Functions

To generate and meet or exceed the budgeted sales goals for the Special Events department.

Performs administration duties in the sales department assigned by Special Event Manager.

Assist the Special Events Coordinator with the execution of events.

Essential Duties and Responsibilities

Ensures compliance with the Kalispel Tribe of Indians- State of Washington Gaming Compact, Internal Controls, NIGC Regulations, Northern Quest Resort and Casino Policies and Procedures.

Takes inquiry calls from potential clients and conducting property tours in their absence.

Drafts and edit all proposals for the Special Events Department

Thorough understanding of professional contract verbiage and clauses.

Thorough understanding of all venues and amenities available at KGCC

Coordinates tradeshow and promotional collateral for the sales department.

Learn special event and catering terminology and be able to communicate effectively.

Conducts tours of the property to sell special event facilities

Processes all deposits correctly

Communicate follow-up calls and thank you letters to all events executed

Share information with other departments to facilitate their successful performance.

Provide support to various members of the KGCC F&B Department including the Event Manager, Special Events Coordinator, KGCC Assistant Restaurant Managers

Assists the Event Manager with writing weekly BEOs to generate the details of the upcoming Events booked.

Write weekly forecasted Sales booked and report to Event Manager

Assists the Event Manager with gathering group details/information/amenity needs to generate a meaningful banquet event order.

Assists with the execution of Special Events, ensuring that event operations run smoothly

Must be able to execute multiple tasks at the same time while staying focused and organized.

Attend the weekly BEO meeting.

Ensure that clients are always treated with respect.

Ensure that client contracts are signed, and correspondence are timely and accurate.

Promote positive guest relations through prompt, courteous, and efficient service per Kalispel Hospitality

Monitor satisfaction of food, service and ambiance.

Coordinate special arrangements and needs with the appropriate departments for the operation.

Exceptional written and verbal communication skills and the ability to forge and foster lasting relationships with premier clients throughout the region.

Knowledgeable and able to complete all sales forms correctly.

Knowledgeable of and able to utilize catering software.

Presents a positive attitude and image at all times.

Responsible for maintaining a good attendance record and conducting themselves in a professional manner

Adhere to KGCC policies

Ensure control/protection of company assets.

Ensures compliance with the Kalispel Tribe of Indians- Internal Controls and KGCC Policies and Procedures.

Available and willing to work any changes in hours deemed necessary for Business Levels.

May be required to be a panelist for the Internal Review Hearings.

Ensures that the highest possible standards of guest satisfaction and Team Member relations are maintained and carried out in a fair and equitable manner.

Education

Bachelor's Degree in Event Management or equivalent combination of education and experience.

Experience

Must have experience in all FOH vocation positions

Minimum of 2 years of experience in the banquet, catering, and event industry

Minimum of 2 years of sales experience in the banquet, catering, event, and/or hotel sales.

Experience with a computer-based Point of Sale (POS) system preferred.

Skills

Proficiency in computer applications in a Windows-based environment, e.g. Excell, word processing, spreadsheets, power point presentations, and e-mail.

Typing or keyboarding speed of at least 60 wpm.

Ability to work in a challenging environment dealing with sensitive issues.

Maintaining exceptional working relationship with department team members and other team members.

Ability to handle multiple tasks, quickly and accurately.

Working knowledge of office procedures.

Ability to use and assist in the use of copy and fax machines and other related office equipment.

Skill in effectively communicating information, verbally and in writing to employees, managers, clients, customers, and the general public. Such information includes reports, business correspondence and procedural manuals.

Skill in solving practical problems and exercising sound judgment under limited direction. Excellent organizational, communication and leadership skills.

Skill in identifying and resolving administrative problems under pressure conditions.

Other Requirements

Ability to obtain and maintain a Tribal Work Permit.

Valid driver’s license (Must be in possession while operating a Tribal Vehicle).

Washington State Food Handler Permit within 14 days of start date.

Mandatory Alcohol Server Training (MAST) certification – 90 days from employment, or 1st class offered.

Available and willing to work nights, weekends, and holidays as required.
