Job Overview
We are a client-focused law firm concentrating on real estate, bankruptcy, and estate planning, and we are seeking a detail-oriented and organized Legal Secretary to join our dynamic team. The ideal candidate will provide essential administrative and legal support to attorneys, ensuring the smooth operation of the firm and helping maintain exceptional client service.
Our firm uses Smokeball for case management, and we value candidates who are tech-savvy and proactive in leveraging software to stay organized and efficient. A Notary Public certification is preferred to assist with document execution.
Key Responsibilities
- Prepare, draft, and proofread legal documents including contracts, correspondence, bankruptcy petitions, and estate planning documents with a high level of accuracy.
- Manage and organize client files and documents using Smokeball (or similar document management systems).
- Perform legal research to support case preparation, particularly in the areas of real estate, bankruptcy, and estate planning.
- Assist attorney with case management, including facilitating closings with title companies and working with clients, mortgage companies and municipalities to get these items completed.
- Schedule and coordinate client appointments, real estate closings, and meetings with precision.
- Conduct accurate and timely data entry to maintain up-to-date client records.
- Maintain strict confidentiality regarding sensitive client and case information in compliance with ethical and legal standards.
- Assist with notarizing legal documents (Notary Public preferred but not required — must be willing to obtain certification if not already licensed).
- Collaborate with attorneys and team members to streamline office processes and improve workflow efficiency.
Qualifications
- Proven experience as a Legal Secretary or similar administrative role in a law firm environment.
- Familiarity with real estate transactions, bankruptcy filings, and estate planning documents is strongly preferred.
- Proficiency with Smokeball or similar legal case management software is highly desirable.
- Strong knowledge of legal terminology, procedures, and documentation.
- Excellent organizational and multitasking abilities, with a focus on prioritizing tasks efficiently in a fast-paced environment.
- Superior written and verbal communication skills, with professionalism in client and court interactions.
- Ability to work independently and as part of a collaborative legal team.
- Exceptional attention to detail to ensure accuracy in all legal documents and records.
- Certified Notary Public preferred (or willing to become certified shortly after hiring).
