Job Summary
Under the direction of the Document Delivery Services Librarian, the Head of Reserves and Rapid Scanning is responsible for planning and supervising course reserve and rapid scanning operations at the Joseph Regenstein Library, which includes management of print and electronic course reserves at Regenstein Library, management of the Scan and Deliver service, and oversight over the processing of ILL Lending scan requests. Responsible for explaining, interpreting, and publicizing reserve and Scan and Deliver services to faculty and students. Oversees activities relating to copyright clearance for electronic reserves and other materials. Provides and promotes excellent customer service to Library patrons across all areas of responsibility.
Responsibilities
  • Supervises, including hiring, training, and scheduling, 3 clerical union clerical reserves staff and is backup supervisor of up to 2 FTE student assistants. Ensures a departmental climate that offers Library clients efficient, accurate, and courteous service and cultivates a diverse and inclusive work environment.
  • Oversees, distributes, and monitors work of staff and ensures routine tasks are completed in a timely manner, including scanning materials in response to reserves, Scan and Deliver, or Interlibrary Loan requests and making physical items available on reserve.
  • Oversees staff in their daily use of various work-related systems as they relate to the unit, including Ares, ILLiad, and FOLIO and provides initial troubleshooting of problems, and reports issues to appropriate staff.
  • Oversees staff responses to patron inquiries, reserves, and Scan and Deliver requests and related issues, including copyright laws and guidelines. Explains and interprets reserves and Scan and Deliver policies to patrons. Resolves difficult problems or refers them to other staff as appropriate.
  • Oversees compliance with copyright laws and guidelines, and under the direction of the Document Delivery Services Librarian, works to shape reserves and rapid scanning policies and ensure consistent practices and policies across the Library.
  • Works with the Document Delivery Librarian, Library systems staff, and others as appropriate to evaluate, choose, implement, configure, and test systems related to reserves, Scan and Deliver, and rapid scanning.
  • Works collaboratively with other Library and University units, in particular with Regenstein Circulation, Collection Management, Mansueto Circulation, Reference, and Preservation to ensure superior service to library patrons.
  • Compiles regular and special statistical reports; reviews operations and makes recommendations for improvements in service to patrons and working conditions for staff; estimates needs in terms of staff, equipment, etc., and provides justification. Conducts special studies as required; sets up and exercises quality and quantity controls for the section.
  • In consultation with the Document Delivery Services Librarian, analyzes use data to identify trends and to make recommendations for improvements in service, staffing levels, and service hours.
  • Maintains guidelines, policies, and procedures for the unit. Manages unit communications, which includes the unit's web site.
  • Evaluates services and the effectiveness of policies and makes recommendations for service improvement.
  • Performs other related work as needed.

Minimum Qualifications
Education:
Minimum requirements include a college or university degree in related field or an equivalent combination of education and experience.

Work Experience:
Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

Experience:
  • Working knowledge of library procedures.
  • Supervisory experience in a library setting.
  • Experience in a higher education environment.
Technical Skills or Knowledge:
  • Knowledge of workstation applications, including Microsoft Office, email and internet.
  • Ability to learn a range of position-related software applications.
  • Experience with, or ability to learn, a range of position-related software applications, including but not limited to Ares, Canvas, and FOLIO.
