Apollo Anesthesia Associates, an anesthesia staffing group, is seeking a highly organized and dependable Administrative Assistant to support our growing team. This role plays a key part in ensuring the accuracy, efficiency, and professionalism of our administrative operations, with a focus on provider credentialing, data entry, report generation, digital documentation, and external communications.
The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple priorities in a dynamic environment. Strong communication skills, sound judgment, and the ability to work both independently and collaboratively are essential for success in this role.
Key Responsibilities:
Credentialing & Provider Support
- Oversee the credentialing process for anesthesiologists and CRNAs, ensuring timely submission and verification of licensure, certifications, education, and work history.
- Communicate directly with providers to gather required documentation and follow up as needed.
- Maintain accurate credentialing records and ensure compliance with internal and external deadlines.
- Liaise with surgery centers, insurance companies, and other entities to complete credentialing and privileging processes.
Administrative & Digital Documentation
- Convert, edit, and manage PDF documents using Adobe Acrobat (e.g., merging files, adding/removing pages, labeling, annotations).
- Organize digital files and maintain orderly, searchable records.
- Assist with labeling and classifying anesthesia-related documentation using appropriate terminology (MAC, general, regional/local, etc.)
- Perform daily data entry, formatting, and report generation.
Client Support & Communication
- Serve as a point of contact for external partners, clients, and providers.
- Respond to email inquiries and requests, providing assistance or routing them to the appropriate internal staff.
- Ensure prompt and professional communication while managing up and following through on unresolved tasks.
- Support ongoing administrative projects and assist team leads as needed.

Required Skills & Qualifications:
- Proficiency with Adobe Acrobat for editing and formatting PDF documents.
- Strong working knowledge of Google Workspace (Docs, Sheets, Drive).
- Excellent written and verbal communication skills.
- Demonstrated ability to manage deadlines and handle multiple priorities.
- Ability to work independently and proactively follow up with busy professionals
- High attention to detail and strong organizational skills.
Preferred Qualifications:
- Prior experience with medical credentialing, healthcare administration, or medical records.
- Familiarity with anesthesia terminology (MAC, general, regional/local).
- Experience working in a healthcare or medical office setting.

Pay: $45,000.00 - $65,000.00 per year
