Medical Office Assistant

This position provides a variety of administrative and clerical functions within an office or in a department/function to support the efficient administrative operations. May be primary customer service contact point for consumers.

This role is Full-time, Monday - Friday daylight hours.

Position Details

Reception

• Welcomes consumers and visitors by greeting consumers and visitors, in person or on the telephone; answering or referring inquiries.
• Optimizes consumers' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone using electronic calendaring.
• Keeps consumer appointments on schedule by notifying provider of consumer's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.

• Escalate complaints as appropriate based on established policy and procedure.
• May collaborate with prescriber, the monitoring of client prescription refill needs.

Consumer accounts

• Obtains all preliminary and pertinent information needed from consumers; updates when needed.
• Explains facility policies, regulations, services and obtains all consents.
• Ensures availability of treatment information by electronically filing and retrieving consumer records.
• Maintains consumer accounts by obtaining, recording, and updating personal and financial/insurance information electronically.
• Obtains revenue by recording and updating financial information; recording and collecting consumer charges; controlling credit extended to consumers; filing, collecting, and expediting third-party claims.

Administrative Support

• General clerical duties such as but not limited to copying, filing, mail duties, of materials, scanning and uploading of electronic documents.
• May performs general office clerk duties and errands including but not limited to simple travel arrangements, basic correspondence, submitting travel reimbursements.
• Coordinates local events as necessary.
• Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
• Provides back up to other Administrative job duties, as needed.

Miscellaneous

• Ensures compliance with relevant laws, HIPPA regulations and established company policies, procedures, standards and Compliance program.

The ideal candidate will possess the following qualifications:

• High School diploma or GED is required.
• One year of experience with administrative office experience, including filing, typing, office organization, computer skills, is preferred. 
• Human services or medical health field experience is preferred.
