Key Responsibilities
Patient Care & Communication
- Greet patients warmly upon arrival and ensure timely service
- Manage patient check-in and check-out processes
- Answer phones professionally and provide excellent customer service
- Check and respond to voicemail messages promptly
- Take detailed, accurate messages and route to appropriate team members
- Create a positive experience for every patient, whether in-person or over the phone
- Maintain patient privacy and confidentiality at all times
Administrative Duties
- Schedule, reschedule, and cancel patient appointments using our electronic practice management system
- Upload incoming patient information (reports, lab results, medical records) into our EHR system
- Maintain and update patient accounts with current personal and financial information
- Process patient payments and provide receipts
- Send medical records as requested
- Handle faxing, scanning, and emailing as needed by team members
Office Management
- Open and close the office daily
- Maintain front office lobby area and restrooms
- Assist with general office cleaning and upkeep
- Manage inventory for medical and office supplies
- Order and stock supplies as needed
- Perform daily and weekly light office cleaning tasks
Additional Responsibilities
- Assist with social media accounts (Facebook, Instagram)
- Support team members with various office duties as needed
- Maintain effective working relationships and communication with patients and staff
Qualifications & Skills
- High school diploma or equivalent required
- Previous medical office or customer service experience preferred
- Proficiency with electronic health records (EHR) and practice management systems
- Strong communication and interpersonal skills
- Excellent organizational abilities and attention to detail
- A friendly, patient-centered approach and a passion for working with children.
- Ability to multitask in a fast-paced environment
- Professional demeanor and appearance
- Reliable and punctual
- Proficiency in using medical software, scheduling systems and basic office equipment.
- Social media experience is preferred.
- Knowledge and interest in naturopathic medicine and holistic healthcare is a plus.
