JOB DESCRIPTION
TITLE OF POSITION: Middle School Secretary
QUALIFICATION:
1. High school diploma
2. Computer/typing experience
3. Bookkeeping experience
4. Aptitude for work to be performed
REPORTS TO: Building Principal
JOB GOAL: To assure the smooth and efficient operation of the school office for maximum positive impact on the education of children.
PERFORMANCE RESPONSIBILITIES:
- Receive visitors and answer multiple phone lines.
- Refer visitors and callers to appropriate personnel and take message for them.
- Prepares and enters purchase orders for all building supplies.
- Prepares work orders for building maintenance and web tickets for technology.
- Keeps accurate records for building budgets, banking/checking accounts.
- Collects, counts, records and deposits all monies for building activities.
- Receives incoming mail and distributes where necessary
- Receives out-going correspondence and prepares for in-district distribution
- Prepares budget, state, federal, and organizational reports as directed by the building principal.
- Sets up and maintains office files, student files, and personnel files for building principal
- Checks in all new supplies/equipment and keeps accurate record of ordering/shipping/receiving accounts.
- Keeps inventory file for all building supplies/equipment.
- Assists in determining and ordering building supplies/equipment.
- Works with the school nurse to take care of minor medical needs of students and staff as needed.
- Calls parents to check on student attendance.
- Collects student data on new enrollees and maintains student cumulative files.
- Maintains daily teacher attendance records and substitute calling system.
- Maintain the time clock system for all classified staff.
- Assists teachers in preparing instructional materials as time permits.
- Entering absences and log entries for students. Run reports for Attendance/truancy and send notifications letter to parents.
- Maintain machines such as copiers and laminators.
- Aid in all drills (tornado, lock-down, etc.)
- Performs other duties as assigned.
TERMS OF EMPLOYMENT: Ten month
EVALUATION: Performance of this job will be evaluated annually by the Building Principal
