ESSENTIAL FUNCTIONS:
1. Initiate paperwork for invoices the Learning & Teaching Center and Northwest Online
2. Place and track orders for the office
3. Create personnel action forms for all online professional faculty payments six times per year as well as other personnel payments for Northwest Online
4. Initiate paperwork for Risepoint and Instructional Connections payments
5. Prepare and send welcome packets/mailers for new Northwest Online students
6. Order, assemble, and organize materials for New Faculty Orientation, Learning & Teaching Academy, faculty professional development workshops, and new Northwest Online students
7. Track development and stipend payment of online courses
8. Manage the Learning & Teaching Center email account
9. Manage phone calls connecting them to the correct lead in the offices
10. Answer basic faculty questions about the learning management software Canvas
11. Oversee creation and posting of banners in Canvas
12. Oversee and add workshops to the Workshop Registration Tool
13. Update LTC web site using Cascade software
14. Support and assist six staff members
15. Maintain confidential records and files
16. Prepare annual appointments, budget forms, and periodic reports
17. Track expenses through individual office budgets
18. Schedule faculty appointments with staff
19. Schedule meeting rooms through Astra scheduling software
20. Schedule menus for New Faculty Orientation
21. Receive and screen visitors
22. Perform other duties as assigned
REQUIREMENTS:
Education: High school diploma and one year of office management experience
Experience:
- Experience with computer hardware and software
- Experience with Microsoft Word, Excel and PowerPoint
- Experience with the use of the Internet
Skills:
- Excellent customer service skills
- Excellent written and interpersonal communication skills
- Ability to effectively communication with faculty and staff
- Ability to use scheduling management software (i.e. Astra)
WORKING CONDITIONS: This position will work in an office environment from the hours of 8:00 am to 5:00 pm with an hour lunch break
EQUIPMENT/MATERIALS USED: Hardware: PC and Mac computers, desktop computer, notebook computers, tablet computers; Software: Microsoft Office (especially Excel) and web conferencing
TYPICAL PHYSICAL DEMANDS: Some lifting up to 20 pounds may be required
