We’re looking for a dependable and proactive Office Assistant to help support our daily operations and ensure our workplace remains efficient, welcoming, and well-managed.. This position requires strong organizational skills, proficiency in office management software, and the ability to communicate effectively with clients and team members.
Duties
- Manage incoming calls and emails, providing exceptional customer support and maintaining professional phone etiquette.
- Assist with scheduling appointments and managing calendars for staff members.
- Perform data entry tasks, including maintaining accurate records and filing documents.
- Utilize QuickBooks for invoicing, billing, and financial tracking as needed.
- Support office management functions by organizing supplies, equipment, and office layout.
- Provide assistance as a medical receptionist when required, including patient check-in and managing medical records.
- Collaborate with team members to ensure smooth operations and address any administrative challenges that arise.
- Maintain confidentiality of sensitive information while handling files and documentation.
Qualifications
- Previous experience in an office environment is preferred, with a focus on customer service or office management.
- Proficiency in QuickBooks is a plus; familiarity with other accounting software is beneficial.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills with the ability to interact professionally with clients and colleagues.
- Strong organizational skills with attention to detail and the ability to multitask effectively.
