Job Summary
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in supporting daily office operations, ensuring smooth communication, and maintaining an efficient work environment. This position requires strong time management skills and proficiency in computers and various office software, The Office Assistant will be responsible for handling clerical tasks, managing files, and assisting with our bidding process for new construction projects.
Responsibilities
- Manage incoming calls and direct them to the appropriate personnel.
- Perform data entry tasks with accuracy and attention to detail.
- Maintain organized filing systems for easy retrieval of documents.
- Assist in office management tasks to ensure a productive work environment.
- Proofread documents for clarity and correctness before distribution.
- Utilize computers for software such as excel, word, outlook and microsoft.
- Requesting Bid Bonds, Preparing bidding documents and files.
- Collaborate with team members to streamline office processes and improve efficiency.
Experience
- Previous experience as an Office Assistant or in a similar clerical role is preferred.
- Familiarity with phone systems and office equipment is advantageous.
- Proficient in using computers and (Docs, Sheets, Drive).
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent proofreading skills to ensure high-quality documentation.
- Experience in data entry and maintaining organized files is essential.
- A background in bidding and procurement is a plus but not necessary
