We are seeking a highly organized and detail-oriented Office Assistant to join our administrative team. This role serves as the operational backbone of our office, providing essential support across various departments while maintaining efficient office systems and procedures. Key Responsibilities:
Office Operations Management:
- Serve as primary point of contact for all office communications, including phone calls, emails, and in-person inquiries
- Maintain comprehensive filing systems for both physical and digital documents
- Oversee inventory of office supplies and equipment, placing orders as needed
- Coordinate mail services including sorting, distribution, and preparation of outgoing correspondence
Administrative Support Functions:
- Schedule and coordinate meetings, appointments, and conference room bookings
- Prepare and edit business documents, reports, and presentations
- Assist with data entry and maintain accurate records in company databases
- Provide logistical support for business travel arrangements
Departmental Coordination:
- Facilitate interdepartmental communication and workflow
- Assist with special projects across various business units
- Support human resources with new employee onboarding processes
- Help organize company events and staff meetings
Required Qualifications:
- High school diploma or equivalent (higher education preferred)
- 0-2 years of office experience (internship experience acceptable)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Basic understanding of office equipment operation
- Strong written and verbal communication abilities
- Excellent organizational and time management skills
- Ability to maintain confidentiality of sensitive information
Preferred Qualifications:
