Job Overview:
The Billing Coordinator/Office Assistant plays a crucial role in managing billing operations and providing administrative support to ensure efficient daily operations. This position requires strong organizational skills, attention to detail, and effective communication with clients, drivers, and office staff.
As this is a transportation company, candidates must have a valid driver’s license with no revocations and a clean driving record.
Billing Coordinator Responsibilities:
- Billing Operations Management: Oversee all aspects of the billing process, ensuring accuracy and compliance with company policies and state regulations.
- Policy Development: Assist in the creation and implementation of billing department policies and procedures to streamline operations and maintain consistency. Ensure policies are reviewed and updated annually.
- Issue Resolution: Investigate and resolve payment and billing discrepancies, working directly with clients and collaborating with finance and administrative teams as needed.
- Confidentiality Maintenance: Ensure the security and confidentiality of all financial and personal information handled by the billing department.
- Billing and Invoicing: Collect and verify data for completed trips, process billing, and ensure accurate invoicing for services.
Office Assistant Responsibilities:
- Customer Interaction: Answer phone calls and emails, gather necessary information, and explain services to clients. This includes conflict management.
- Dispatch Assistance: Support dispatch operations by coordinating driver assignments, optimizing routes, and addressing immediate scheduling concerns.
- Data Management: Maintain accurate client records, update trip details, and ensure all required releases and payment authorizations are obtained prior to transportation.
- Scheduling and Coordination: Assist with ride scheduling, trip tracking, and ensuring timely service using electronic databases.
- Policy Interpretation: Clearly explain company policies and regulations to clients to ensure a thorough understanding of the services provided.
- Other Duties: Be available to assist with additional tasks as assigned, which will include driving as needed.
Requirements:
- Valid driver’s license with no revocations and a clean driving record.
- Must pass a federal level background check and drug test.
- Proficiency in Microsoft Office, OneDrive, email, and data entry systems.
- Willingness to learn new software and office procedures.
- Strong organizational and multitasking skills.
- Experience in billing, office administration, or a related field preferred.
- Excellent customer service, communication, and problem-solving skills.
