Job Purpose
The Office Manager is responsible for the day-to-day administration and management of GHMS's Community Health Center Facilities. The essential duties of the Office Manager include the oversight of front office, patient intake, patient check-out functions; monitoring, assessing and improving patient flow activities; and facilities management. The Office Manager provides overall supervision and management of clinical practice, supports operations by ensuring a cohesive workforce that enables medical providers to examine and treat patients in an orderly and cost-effective manner. The Office Manager serves on the organization's Leadership Team.
Duties and Responsibilities
- Oversees all administrative and financial matters pertaining to front office functions at the assigned Community Health Center Facility.
- Manages all daily operational activities that affect Accounts Receivable (A/R) and Collections.
- Monitors patient accounts and takes appropriate action in order to resolve high balances as needed.
- Conducts patient financial counseling, addresses patient complaints in coordination with GHMS's Quality Improvement Manager, and closely monitors daily operations to ensure optimum customer service and service quality.
- Ensures the daily cash receipts are accurately and appropriately prepared and reconciled, and that daily deposits are made as scheduled.
- Monitors facility patient schedule to ensure patient flow, and provider coverage.
- Manages front office, check-out, patient appointment scheduling, personnel at assigned CHC facility.
- Ensures necessary personnel present each day, serve as backup as needed.
- Manages facility maintenance/physical plant issues at assigned CHC facility. Ensures building machinery/equipment is maintained and in working order.
- Serves as Site Safety Officer.
- Manages Patient Assistance Program at satellite sites. Maintains adequate drug sample inventory.
- Monitors and records medications/vaccines storage and temperatures as needed at satellite sites.
- Ensures vaccines are inventoried and reported as needed at satellite sites.
- Manages the acquisition of supplies and equipment necessary to support all clinical and administrative activities.
- Sorts and distributes the assigned CHC facility's mail.
- Coordinates Spirit Team activities, Vendor lunches, monthly meetings in conjunction with other CHC Sites.
- Ensures all organizational policies and procedures are followed appropriately.
- Ensures the effective flow of information for timely management decisions.
- Follows Corporate, Ethical, and HIPAA policies and procedures to ensure the confidentiality of all GHMS and patient information.
- Effectively practices teamwork, respect for supervisor and coworkers, good attendance and punctuality. Properly requests time off as needed per GHMS policies and procedures.
- Performs other duties and tasks as assigned to promote optimal healthcare to patients of GHMS.
