Office Support Associate - Chemical & Biomolecular Engineering

The Department of Chemical & Biomolecular Engineering are searching for an Office Support Associate to provide office support in the Department of Chemical and Biomolecular Engineering. This position will carry out independent duties and assignments related to operations in the department's business office and student services office as well as provide backup to the office support and assistant to the head positions within the department.Duties & Responsibilities
Clerical Support for the Department's Main Office
- Greets and screens visitors and answers the department’s telephone; determines needs and handles routine inquires, requests, or problems.
- Assists with coordinating and completing unit scheduling, room reservations and facility requests for the department, faculty, and labs.
- Coordinates and completes travel arrangements for department, faculty, and lab groups and completes all relevant purchases, reimbursements, and expense reports.
- Assists with department purchases including lab and office supplies.
- Assists with maintaining department calendar and assists with organizing events.
- Makes Copies/scans and assists with department record retention.
- Checks out departmental keys and equipment to faculty, staff, and students.
- Maintains a job manual for position and updates process and procedures as necessary.
- Conducts other assignments as requested.
Clerical Support to the Department’s Student Services Office
- Provides backup reception in the Student Services Office.
- Provides general support to the Undergraduate and Graduate Program Coordinators.
- Conducts other assignments as requested.
Backup Support to Chemical and Biomolecular Engineering’s Office Support Specialist and Assistant to the Head Including:
- Assists with clerical support including but not limited to preparing materials related to teaching responsibilities.
- Assist with coordinating and providing faculty cost estimates and comparisons for purchasing equipment and completes purchases while following relevant policies and guidelines.
- Monitors daily the department's student computer lab and reports issues to the appropriate personnel.
- Conducts other assignments as requested.
Required Qualifications
- High school diploma or equivalent.
- Any one or combination totaling eighteen (18) months from the categories below: College coursework in any curriculum as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- Work experience performing office/clerical activities, including the use of computer systems.

Appointment Information
This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The wage for this position is $38,391.60. Hybrid work options may be available for this position, with the ability to be on-site at the University of Illinois Urbana-Champaign campus as needed per the University’s Workplace Flexibility policy. Sponsorship for work authorization is not available for this position.
