As we continue to expand, we need an organized and proactive Office Support Coordinator who thrives in a fast-paced environment and is committed to providing support across all departments. In this cross-functional role, you’ll have the opportunity to contribute to various aspects of the business, including invoicing, scheduling, customer service, accounts receivable, social media, and more.
Job Overview:
The Office Support Coordinator will be essential in supporting department coordinators and the office manager with a variety of tasks. You’ll take on responsibility for invoicing, job scheduling, quoting, customer service, and administration, while also managing our receivables to maintain healthy cash flow. This position will also involve assisting with social media content creation, onboarding new clients to our service app, and supporting the office manager with ongoing projects.
Key Responsibilities:
- Invoicing & Scheduling: Manage job schedules and invoicing to ensure clients are billed accurately and on time.
- Quoting Jobs: Prepare and send quotes for new projects and services, collaborating closely with department coordinators.
- Customer Service & Administration: Serve as a point of contact for customer inquiries, providing exceptional service and administrative support to the team.
- Accounts Receivable: Manage and track receivables, ensuring that outstanding balances remain within a reasonable level.
- Social Media Support: Assist with creating and posting content on social media platforms to promote the company.
- Client Onboarding: Help onboard new clients to our service app, ensuring a smooth and efficient transition.
- Office Manager Support: Provide administrative and project assistance to the office manager as needed.
Qualifications:
- Excellent organizational and multitasking skills
- Strong written and verbal communication abilities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and Google Suite
- Experience in invoicing, customer service, and administrative tasks
- Comfortable with social media platforms and content creation
- Detail-oriented with excellent problem-solving skills
- Ability to prioritize tasks and manage time efficiently
- Willingness to learn new software and systems, including our service app
Preferred Skills:
- Experience in service-oriented businesses
- Familiarity with project management tools and invoicing software
- Prior experience in a cross-functional support role
