Operations Support Specialist (Full-Time Floater)
Location: Ardmore, OK (in-office)
Schedule: Full-Time, Includes Weekends, Nights, and On-Call Rotation
Availability: Must be available 24/7 for emergency response and property oversight
Position Summary
We are seeking a highly adaptable, full-time Operations Support Specialist to assist across all departments of our property management company. This role will involve hands-on learning of each position within the company, starting with the Repair Coordination Department, and expanding into leasing, compliance, administrative support, and operations. This individual will serve as a versatile team member who can step in where needed to support vacations, workflow peaks, and special projects.

Primary Responsibilities (Starting in Repairs Department)
- Receive and triage incoming repair requests via phone, text, and system messages
- Coordinate with approved vendors and internal technicians to dispatch work orders
- Monitor urgent issues including water leaks, HVAC outages, and emergency repairs
- Follow up with tenants and vendors to confirm resolution and satisfaction
- Document repair updates in company systems (Buildium, spreadsheets, iNotes, etc.)
- Track and record receipts, before/after photos, and final invoices
- Assist in preparing estimates for owner approval when needed
- Communicate professionally and clearly with tenants about timelines, access, and service expectations
General Role Expansion Over Time
- Leasing Department – learning application processing, showings, and marketing
- Property Compliance – assisting with walkthroughs, property conditions, and follow-up
- Admin Support – managing spreadsheets, files, communications, and owner preferences
- Rent Ready Coordination – helping prep properties between tenants
- Weekend & Emergency Coverage – answering the main line and resolving after-hours issues
- Eviction Court Shadowing – attending court when needed for contingent or complex cases
Position Requirements
- Must have reliable transportation and be comfortable visiting properties
- Ability to work flexible hours, including weekend and evening availability
- Comfortable using Google Workspace (Docs, Sheets, Gmail, Calendar)
- Strong communication and follow-through skills
- Willingness to learn and grow with the company long-term
Job Type: Full-time
Pay: $30,000.00 - $60,000.00 per year
