Epika is seeking a highly organized and detail-oriented Paralegal to manage various aspects of our business operations. The ideal candidate will possess strong skills in project management, business licensing, tax compliance, permitting, and business analytics and more. This hybrid role requires proficiency in Smartsheet, Onehub, and Microsoft Office Suite, particularly Microsoft Excel, to support and streamline various business processes.

Job Responsibilities:
As a paralegal supporting a multi-brand fleet services company operating in over 40 states, responsibilities include legal, regulatory, and operational compliance across mobile and fixed locations:

Licensing & Regulatory Compliance:
Manage the application, renewal, and compliance of business licenses and tax registrations for 9 mobile fleet brands across 40 states, ensuring alignment with diverse state and local regulations to prevent operational disruptions and maintain continuous service coverage. -
Contract & Data Management:
Document, track, and maintain critical data including permits, vendor contracts, and environmental data sheets across multiple internal databases. Source and cross-reference information from various platforms to ensure data integrity and support legal and operational efficiency. -
Cross-Functional Program Implementation:
Plan, coordinate, and support the rollout of new programs, working with cross-functional teams to ensure timely deployment within budget. -
Legal Support & Documentation:
Assist with contract review, corporate filings, and preparation of documentation for internal audits, vendor negotiations, or state regulatory requests. Support compliance with DOT, EPA, and other federal/state requirements impacting mobile fleet operations. - M&A due diligence, integration of acquired companies, and organizing corporate records of new entities.
Other responsibilities may include:
- Business Licenses: Manage the application, renewal, and compliance of business licenses. Ensure that all licenses are current and up-to-date and adhere to local regulations.
- Tax-Related Duties: Assist with tax setup in various jurisdictions and manage the preparation and tracking of required tax documentation and filings.
- Project Management: Plan, execute, and oversee projects to ensure timely completion within budget and scope. Coordinate with different departments to ensure project goals are met.
- Insurance and Legal Matters: Work closely with insurance partners and legal team to ensure timely completion of information requests and documentation as required.
Qualifications:
- Experience: At least 5 years of professional experience, ideally with specialized knowledge in project management, business licensing, tax compliance, operational management, fleet vehicle industry regulations, and business analytics.
- Skills: Proficient in Microsoft Office Suite, with advanced skills in Microsoft Excel (e.g., data analysis, complex formulas, pivot tables). Experience with Smartsheet and Onehub a plus.
- Education: Associates or Bachelor’s degree preferred, ideally in Business Administration or Paralegal Studies.
- Attributes: Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. Excellent communication and interpersonal skills.
