Housing Works fights for funding and legislation to ensure that all people living with HIV/AIDS have access to quality housing, healthcare, HIV prevention, and treatment, among other lifesaving services.

Compensation Range: $17-$20/hour

Position Overview: The Patient Access Specialist (PAS) is a critical member of our health center team, responsible for staffing the front desk and ensuring a smooth patient registration process. This role emphasizes optimal customer service and adherence to patient registration protocols, including enrollment documentation and insurance verification.

Responsibilities

Patient Scheduling & Check-In:

  • Efficiently schedule patient appointments with accuracy and professionalism.
  • Greeting and check in patients upon arrival at the front desk and via the kiosk.

Customer Service:

  • Understand patient needs, resolve concerns, and escalate issues to the Practice Manager when necessary.
  • Direct patients to providers in an organized and timely manner.

Insurance & Enrollment:

  • Verify insurance coverage for scheduled patients, including pre-authorization verification.
  • Oversee completion of enrollment data, including obtaining a medical record number in EiCare.
  • Verify insurance eligibility at each patient visit using Waystar, ePACES, and insurance portals.
  • Assist clients with the Sliding Fee Scale application process and update patient insurance information as needed.
  • Generate Good Faith Estimate (GFE) Letters for sliding fee scale or self-pay patients (PCC).

Communication & Follow-Up:

  • Answer incoming calls, direct callers appropriately, and take messages when providers are with patients.
  • Register new patients and assist with kiosk or electronic medical record registration.
  • Conduct appointment reminder calls and outreach to patients for rescheduling.
  • Follow up with no-show clients and reschedule appointments as appropriate.

Administrative Tasks:

  • Perform demographic checks at check-in for all patients.
  • Document assigned PCP changes when applicable.
  • Distribute MetroCard’s to patients and reconcile issued MetroCard’s daily using PTAR.
  • Assess and collect co-payments, accurately recording payments in eCW.
  • Ensure lead generation in EiCare for new patients.

Other functions

  • Participate in daily huddles.
  • Maintain a clean and organized reception area, ensuring that the waiting area and coffee station remain tidy and free of trash or spills.
  • Ensure up-to-date status of sliding scale applications for patients daily.
  • Complete PRAPARE screenings for new and annual patient visits.
  • Coordinate transportation for patients as needed.

Minimum Requirements
  • Associate's Degree preferred.
  • 1–2 years of experience in the medical field or a related area.
  • E-Clinical Works experience is a plus.
  • Familiarity with standard medical concepts, practices, and procedures.
  • Ability to plan and accomplish goals with limited supervision and sound judgment.
  • Ability to perform a variety of tasks under general supervision.
  • Spanish-speaking preferred.
  • Ability to work evenings.
