Since 1972, Orlando Orthopaedic Center has remained independently owned and has grown to include 24 orthopaedic specialists across multiple subspecialties, many of whom are recognized leaders amongst their peers nationwide.
We have nine Orlando Orthopaedic Center locations throughout Central Florida, plus a state-of-the-art outpatient surgery center at the heart of our downtown campus located in the trendy SoDo Shopping District just south of downtown Orlando. To provide more immediate care, we have opened several orthopaedic injury walk-in clinics located throughout Orlando and the surrounding communities.

JOB SUMMARY: With a focus on excellent customer service, schedule appointments for new patients, address concerns, and schedule follow-up visits. Direct incoming calls to the appropriate department.
EDUCATIONAL REQUIREMENTS:
- High school diploma required
QUALIFICATIONS AND EXPERIENCE:
- Up to two years of experience in a medical office, telemarketing or other customer service position
- Comfortable using email and interacting with Internet applications
- Knowledge of practice management and word processing software
- Ability to perform multiple and diverse tasks simultaneously
- Proven experience handling irate patients/customers and dealing with conflict
- Familiarity with scheduling and rearranging appointments
- Working knowledge of managed care
- Pleasant speaking voice and demeanor
- Neat, professional appearance
- Strong written and verbal communication skills
Responsibilities include, but are not limited to, the following:
Telephone Answering and Scheduling
- Answers the telephone pleasantly, and by the third ring as often as possible; routes call or takes messages as needed.
- Following physician-approved scheduling guidelines and providing several scheduling options, schedule new and new complaint appointments for patients; explains which pieces of information to bring to the appointment
- Cover for Operator as needed
- Assist with follow-up appointments as needed
Daily Preparation
- Ensure all reference materials for scheduling are up to date
- Review any process or procedural updates from immediate supervisor and ensure understanding
Other
- Retrieve voicemails from the appointment line and promptly return each patient’s call
- Process the department’s incoming faxes as needed
- Process incoming referrals; contact patient to schedule the appointment and update the potential patient log
- Contact patients to reschedule appointments when providers cancel or bump clinic; update the provider’s team and/or branch manager accordingly
- Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice
- Maintain detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions
- Attend all regular staff meetings
- Perform all other tasks and projects assigned by the Patient Registration Manager

Typical Physical Demands
Work may require sitting for long periods of time, and also stooping, bending and stretching for files and supplies. Employee may occasionally be asked to lift files or paper weighing up to 30 pounds. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. Position also requires viewing computer screens and typing for long periods of time, and working in an environment which can be very stressful.

Normal office environment. Employee must work well under pressure and may be required to work flexible hours.
