Position Summary: Communicates directly with patients and/or families either in person or on the phone to complete the registration process by collecting patient demographics, health information, and verifying insurance eligibility/benefits.


Critical Tasks:

  • Maintains exclusive focus upon patients, the quality of their care, and their individual needs without significant distraction by non-patient contact activities and related position duties.
  • Complies fully with all patient/resident records and information privacy regulations; state and federal.
  • Takes all steps necessary to fully ensure patient/resident and medical data confidentiality and security.
  • Maintains accurate and continually updated knowledge of all information required for billing purposes and for receipt of payment from insurance providers.
  • Greets and directs patients and their family members while assisting individuals with the registration process.
  • Establishes access to necessary patient information prior to or upon arrival of the patient for appointment.
  • Verifies patient's appointment and time upon registration.
  • Verifies patient's information is up to date and accurate.
  • Ensures that all required documentation is verified, collected and scanned as appropriate.
  • Makes appropriate changes to and updates of patient information in Electronic Health Record (EHR).
  • Utilizes EHR and printed data sources simultaneously while ensuring that all recorded data remains accurate and separated as required by policy.
  • Verifies insurance coverage and limitations and obtains all necessary authorizations from payers.
  • Maintains updated and accurate knowledge of tribal regulations as they relate to coverage based upon geographic residence locations and tribal membership.
  • Differentiates primary and secondary insurance coverage accurately and explains those subjects to patients and their representatives in an understandable style.
  • Maintains tribal verification forms by completing, sending, and updating patient enrollment information once received by tribal enrollment offices.
  • Collects eligibility forms such as Notice of Purchased Referred Care Services Eligibility, and Notice of Non Purchased Referred Care Services Eligibility.
  • Collects necessary insurance forms including Medicare Yearly, Medicare Secondary, and Assignment of Benefits.
  • Educates and collects documentation regarding the Health Information Exchange.
  • Updates patient information with reference to documents and forms including New Patient Paperwork, Tribal Identification, Certificate of Degree of Indian Blood (CDIB), Birth Certificates, Social Security Cards, and Photo Identification, name change documents and forms.
  • Verifies and updates current guardianships and court orders. Obtains telephone consents when needed.
  • Assists with other medical office needs, including scheduling and telephone inquiries. Enters all data on a timely basis with full accuracy and scans documents for record keeping purposes while ensure proper data system inclusion of all patient information and documents.
  • Conducts reminder calls to patients as necessary.

  • Maintains complete organization of all work activities and work materials.
  • Demonstrates ability to regularly change priorities to accomplish all tasks despite frequent interruptions.
  • Demonstrates ability to clearly communicate, both orally and in writing, while performing all essential functions.
  • Demonstrates ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures and community health services.
  • Performs other special projects and duties as assigned.

Required Qualifications:

  • High School Diploma or GED required; Associate degree in a health care field preferred.
  • 1 year of experience in a health care patient facing role with clerical and record keeping experience preferred.
  • Current and continuing CPR/AED training and certifications within 1 year in position.
  • Demonstrates ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures and community health services.
