Patient Services Associate
Position Overview
As the face and first functions of the practice, this very critical position is responsible for establishing a positive experience for the clinic’s patients as well as the implementation and maintenance of a complete and accurate electronic medical record. This is accomplished through the pleasant and efficient handling of patient appointments and requests, accurate and complete entry of patient information, and proactive efforts to ensure all insurance is accepted, accurate and ready for appointments.
Job Duties
· Oversight of front office and lobby, to include opening and closing office
· Diplomatically field incoming requests and questions by monitoring phones, front desk, emails, referrals, leads portal and faxes
· Appropriately scheduling appointments and ensuring all pertinent information is obtained to achieve the accurate establishment of medical records
· Oversight of patient schedule to maximize physicians time and patient access
· Efficient and accurate registration of patients
· Accurate and complete establishment of payment method for upcoming appointment. Insurance coverage needs to be obtained, reviewed for accuracy, and coverage verified. When applicable, connecting patients with billing to discuss out of pocket payments, past collection issues, or special other special circumstances such as VA or workers comp cases.
· Prepare for next business day through appointment reminders and chart preparation
· Scan documents into medical records
· Accurately and diplomatically collect copays, deposits and balances and balance all patient payments at the end of the day.
· Complete over the counter sales and returns as well as oversee polish inventory and merchandising of all OTC items
· Dispense orthotics, medical records, etc to patients and guests
· Assemble and distribute surgery bags
· Administrative oversight of patient reminder system (currently Klara), ensuring appointment reminders are effective and any other critical messages are being broadcast.
· Seasonal decorating
· Complete other tasks as assigned
Qualifications
Education
· High School Diploma or equivalent
· Medical Office Certificate preferred
Experience
· 5 years of relevant and recent Patient Services Associate experience
· EMR experience required
· Customer Service
Skills/Knowledge
· Medical terminology
· Critical thinking skills to create best practices and troubleshoot issues
· General healthcare clinic operations
· Through understanding of HIPAA
· High comfort level with computer and internet technology
· Professional communication skills
· Able to logically organize tasks in a fast-paced environment

Job Type: Full-time
Pay: From $20.00 per hour
Expected hours: 37 – 40 per week
