PM - Account Manager

The Preventative Maintenance Account Manager and Estimator supports the PM Operations Manager in overseeing preventative maintenance activities, developing and coordinating preventive maintenance schedules and tasks. Estimates labor, materials, and time for maintenance tasks. This role involves working closely with service coordinators, service managers and customers.


Responsibilities:

  • Planning and Scheduling:
    • Create PM renewal quotes and manage Preventative Maintenance work orders
    • Create a monthly (tentative) schedule for work projections/ hours and coordinate with other departments and vendors to ensure timely completion of PM activities
    • Create a hard schedule with the customer at least 2 weeks in advance
    • Create a weekly schedule and distribute it to technicians every Thursday
    • Place materials orders in advance, ensure proper documentation, attachments and notes
    • Develop and maintain the required asset/parts list for each customer
    • Create a yearly outlook to provide monthly projected man hours
  • Estimating and Customer:
    • Confirms company/customer and onsite contact details and sends new contracts to customers
    • Creates and submits multiple level PM quoting. Presenting multiple options to customers
    • Review the P&L for jobs. Determine wins/losses in materials, hours and any other cost related items. Creating budgets based off prior year contracted price and increase as needed
    • Create/ edit excel spreadsheet to keep our renewal process current and in line. This should be 3 or 6 months in advance, depending on the customer’s contract
  • Accounting and Administrative:
    • Maintains organized job records of maintenance activities and generates reports as needed
    • Ensure PM work order details are correct, and jobs are linked (coded) according to SOP
    • Support in creating PM invoice opportunities as jobs are created in Service Trade
    • Support in developing and implementing preventative maintenance programs
    • Support accounts receivables with payment follow-ups and ensures timely payments for PM jobs
    • May direct and coordinate activities of maintenance staff
  • Timesheets and Job Completion:
    • Assist with review/approval of timesheets and confirm they match with job completions
    • Assist with review of job closeouts and mark jobs completed for billing
    • Weekly review internal schedule & agenda with Service Manager to ensure clear direction for the upcoming week

Minimum Job Requirements

  • High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified
  • Completed Associates degree from an accredited Institution may be substituted for Industry experience on a year for year basis

Knowledge, Skills and Abilities Required

  • Skill in the use of computers and databases
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Proficiency with ServiceTrade or similar service programs is a plus
  • Skill in organizing resources and establishing priorities
  • Ability to establish, implement, and maintain operating goals and objectives
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals
  • Advanced verbal and written communication skills
  • Knowledge of budget preparation, cost estimating, monitoring, and analyzing job profitability reports
  • Strong project management and leadership skills
  • Having knowledge of other customer portals is a plus

  • Possession of a valid Indiana state Driver's license is a requirement for this job
