The Preschool Office Coordinator plays a key role in supporting the daily operations of our child development center. This position involves a blend of administrative responsibilities, front desk management, and direct interaction with families. Position Description:
The Preschool Office Coordinator plays a key role in supporting the daily operations of our child development center. This position involves a blend of administrative responsibilities, front desk management, and direct interaction with families. The Associate is often the first point of contact for visitors, providing a warm welcome and helpful direction.
In addition to administrative support, the Preschool Office Coordinator actively contributes to our parent education program and engages with both current and prospective families to ensure a positive experience. Collaboration is essential, as this role works closely with teachers, other Applied Medical departments, and community partners to foster a welcoming, supportive environment for all families
Key Responsibilities:

Front Desk & Communication:
Welcome families and visitors, monitor entrance security, manage phone and email communications, provide program information, and facilitate tours and appointments. -
Administrative & Regulatory Support:
Maintain accurate records in compliance with state licensing and accreditation requirements, protect confidentiality, and assist with ordering and managing supplies. -
Classroom & Program Assistance:
Support teachers with classroom activities, preparation, and cleanup; assist during nap times and help maintain a safe, inclusive, and culturally respectful environment. -
Nutrition & Food Service:
Plan monthly snack menus per CACFP guidelines, prepare and deliver snacks, and ensure cleanliness and organization of food prep areas. -
Family & Community Engagement:
Support parent events, celebrations, spirit weeks, and company-wide initiatives; collaborate on monthly newsletters and community education content. -
Team & Community Collaboration:
Work closely with staff, families, and external partners to support a nurturing atmosphere and address concerns with professionalism and respect.
Other Duties and Responsibilities:
- Assist with various administrative tasks.
- Help maintain the center’s overall appearance and cleanliness, including the reception area.
- Work a flexible schedule between 7 a.m. and 6 p.m., with potential for overtime.
- Attend required in-service and staff meetings.
- Supervise and support AppliedKids volunteers as needed.
- Perform additional duties and responsibilities as assigned.
Team Member Working Relationships:
- Collaborate and interact constantly with the classroom teaching team.
- Interact with other team members in their own department as well as other Applied Medical departments.
- Must be a caring individual who enjoys working collaboratively in a childcare environment.
- Must be in good health and physically and mentally capable of performing the assigned tasks.
- Must have and maintain a qualified Child First-Aid and CPR/AED certification.
- Strong organizational and multitasking skills, with the ability to manage events and deadlines in a fast-paced environment.
- Proficient in using phones, computers, and standard office equipment.
- Effective English communication skills (reading, writing, speaking, comprehension).
- Flexible, adaptable, and open to learning new tasks as needed.
- Bachelor's degree in Early Childhood Education or similar field.
- Early childhood Education units preferred.
- Must pass a live scan background check and criminal record clearance.
- Must have the necessary immunizations to work in a childcare facility: influenza, pertussis, and measles.
- Must pass a health screening, including a tuberculosis test performed by or under the supervision of a physician, to indicate the ability to perform the assigned duties.
- Preferred experience working in a childcare setting.
- Competitive compensation range: $20 - $22 / hour (California).
