This is a temporary or an on-call position. Provides professional support. Responsibilities may include general business, science, medical, agricultural or other professional support functions. Term: Temps can work two (2) nine (9) month terms with a week break in service in between and at the end of the second term terminate for three (3) months or switch to an on-call. On-Call allowed to work 1039 hours in any twelve (12) month period.
Unit Position Summary
Michigan State University (MSU) operates the Facility for Rare Isotope Beams (FRIB) as a user facility for the U.S. Department of Energy Office of Science (DOE-SC), supporting the mission of the DOE-SC Office of Nuclear Physics. FRIB provides researchers with one of the most advanced tools of modern science to study rare isotopes, or short-lived nuclei not normally found on Earth. Hosting what is designed to be the most powerful heavy-ion accelerator, FRIB enables scientists to make discoveries about the properties of rare isotopes, nuclear astrophysics, fundamental interactions, and applications for society, including in medicine, homeland security, and industry. User facility operation is supported by the DOE-SC Office of Nuclear Physics as one of 28 DOE-SC user facilities. MSU’s nuclear physics graduate program is a top-ranked program nationally, according to U.S. News & World Report.

Purpose:
The Professional Aide will assist in ensuring the effectiveness of the Laboratory’s export control and immigration program by maintaining compliance with the University’s Export Compliance Program and Visa/Permanent Residency policies and conforming to federal regulations associated with each program.
Major Duties/Responsibilities:
- Provide experienced support for FRIB’s export control and immigration compliance programs as needed.
- Assist in maintaining compliance documentation, responding to inquiries, and supporting internal and external coordination efforts.
- Contribute to the continuous improvement of compliance processes through feedback and task execution.
- Assist in preparing and reviewing export control documentation, including Restricted Party Screenings and export worksheets.
- Support the maintenance of controlled items lists and access control plans.
- Collaborate with the MSU ECTS office to help coordinate export reviews, training sessions, and international shipment documentation.
- Assist with preparing and reviewing immigration-related documents for non-immigrant and permanent residency cases.
- Support coordination with external immigration counsel, MSU OISS, and internal stakeholders.
- Help track and process immigration-related expenses and documentation.
- Perform related compliance support tasks as assigned, leveraging prior experience to ensure continuity and quality of service.
- Performs other duties as required or assigned, which are reasonably within the scope of the duties in this job classification.
Knowledge, Skills and Abilities:
- Working knowledge of U.S. export control regulations (e.g., EAR, ITAR) and immigration processes (e.g., H-1B, O-1, TN, PERM).
- Knowledgeable of institutional compliance programs and procedures, particularly within a research or academic environment.
- Strong understanding of documentation and recordkeeping requirements for regulatory compliance.
- Awareness of MSU’s compliance infrastructure and relevant offices (e.g., ECTS, OISS, General Counsel).
- Ability to manage multiple tasks and prioritize work in an on-call setting.
- Excellent communication skills to communicate effectively and credibly, both verbally and in writing with all audiences.
- Proficiency with Microsoft Office Suites.
Desired Qualifications
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business Administration, Accounting, Management or field related to employing unit; five to eight years of related and progressively more responsible or expansive work experience in financial or accounting practices, developing research projects, funding and grant practices and/or experience in a field related to the area of employment; or an equivalent combination of education and experience.
