Salary Note: Although the full salary range for this position is provided, appointments are typically made at or near the range minimum.

This position provides broad administrative, promotional, budgetary, and grants management support to the Recreation, Exercise & Sport Science (RESS) Department including the Exercise & Sport Science, Nutrition Science, and Recreation & Outdoor Education undergraduate programs, and the Applied Exercise Science & Performance Graduate Program.

JOB DUTIES:
  • Recruitment, Marketing, and Promotional Support: Collect and disseminate marketing, recruitment, and enrollment data for RESS programs; Help develop/implement recruitment strategies; Help develop/manage communication strategies to foster relationships with prospective students; Plan/implement advertisement and recruitment events
  • Assist Students with Admissions, Enrollment, and Registration Processes: Work with program director to oversee graduate enrollment processes; Analyze and disseminate data on graduate program applications/enrollments; Organize reporting for accreditation purposes; Manage course registrations, internships, and field experiences for undergraduate and graduate students; Counsel graduate applicants on admissions requirements/deadlines; Verify course rosters; Coordinate undergraduate scholarship application review and award notices; Review curriculum data for accuracy
  • Faculty Onboarding and Teaching Load Preparation: Work with Department Chair and Academic Affairs to input and proof faculty load data by applicable deadlines; Load courses into Workday system; Assist with onboarding new department employees; Review salary data for accuracy
  • Purchasing and Budget Management: Track budgets, revenue, and expenses for operations, graduate programs, and auxiliary accounts and provide regular updates to Department Chair; Make purchases for department; Coordinate and process travel reimbursements; Train faculty on completing travel authorization steps in Workday system and complete expense reports
  • Grants Management: Serve as program grants administrator for multiple external funding projects; Serve as liaison to department at all stages of sponsored projects; Provide regular updates of funding opportunities to RESS faculty/staff
  • Collaboration and Engagement: Serve as liaison between graduate students and department; Foster relationships and communicate with key stakeholders (including faculty, advisors, staff, external partners/sponsors, and alumni) to support operational needs; Assist with donor relations, funding opportunities, and new program fundraising
  • Administrative/Office Support: Answer RESS phone; Respond to department emails; Provide customer service across programs; Schedule events and classroom assignments; Submit IT and facility work orders; Record meeting minutes; Provide general clerical support
  • Coordinate/Supervise Student Employment: Assist Department Chair and Graduate Program Director with hiring student positions and administering graduate assistantships; Onboard/train students; Schedule hours and review time sheets
  • Event Planning: Lead, plan, advertise, and execute department events, including venue selection, catering details, and scheduling

MINIMUM QUALIFICATIONS:
  • Experience Only:
    Four (4) years of relevant experience in an occupation related to the work assigned to this position.

  • Education and Experience:
    A combination of related education and/or relevant experience in an occupation related to the work assigned equal to four (4) years. PREFERRED QUALIFICATIONS:
  • Demonstrated ability to build successful relationships between stakeholders
  • Experience with grant management
  • Excellent communication skills
  • Knowledge of graduate student programs (such as tuition/fees, application process, registration, degree requirements) at Western Colorado University.
