As a Program Assistant, you’ll assist the SOR program with administrative tasks to include but not limit to creating program calendar of events, maintaining the program database, provide information related to services to consumers and ensure that information is communicated throughout the program.

As a Program Assistant, you must be dependable, resourceful, and possess problem-solving skills. As well as be organized and meticulous with proven ability to handle multiple tasks in a fast-paced. We would prefer you to have two years’ front office or administrative experience and be bi-lingual English/Spanish. The minimum educational requirement is a High School Diploma or equivalent. Bachelor’s Degree, preferred.

DUTIES AND RESPONSIBILITIES:
  • Point person for departmental communications. Coordinates the communications with service recipients, partner agencies and community members for multi-county opioid project including but not limited to creating program calendars.
  • Greets community members seeking support for substance use disorders (SUD) and directs them to the appropriate staff to begin the engagement process.
  • Answers phones and redirects calls internally and externally as needed to maintain communication flow. Answers all incoming calls using proper phone etiquette and excellent communication skills. Forwards all calls to the appropriate staff member with a polite and cheerful attitude.
  • Creates and maintains a database of program staff in order to efficiently direct information flow.
  • Maintains consumer and statistical databases. Collects, organizes and inputs program related data, creating reports as necessary in the GPRA and Wits’ system.
  • Supports the SUD Program Manager and Team Leaders with clerical and administrative activities.
  • Travel throughout the Hudson Valley when needed to support events and replenish supplies.
  • Attend virtual case conferences with partner agencies.
  • Articulates and helps others understand the program and agency strategic vision and builds internal and external business relationships.
  • Maintains the upkeep of office operations and processes, as needed.
  • Sorts and distributes inbound and outbound mail in a timely manner. Also assists staff with outgoing mail support.
  • Maintains inventory of all SOR program supplies at each location and orders new stock as needed. Including but not limited to Narcan, harm reduction kits and program brochures.
  • Creates and maintains office management files, including the program binder of policies and procedures.
  • Responsible for data entry process of participant intakes.
  • Maintains program contact listing in Outlook.
  • Assists in updating and maintaining agency databases.
  • Provides back up support for the front desk of Washington Terrace and the Recovery Center as needed.
  • The above list of responsibilities is not intended to be all inclusive, other responsibilities and/or training may be assigned or required.

SHIFT:
  • Monday through Friday 9am-5pm.

PAY RATE: $20.83/hr

Requirements

  • High School Diploma or equivalent. Bachelor’s Degree, preferred.
  • Two years’ front office or administrative experience preferred.
  • Bi-lingual English/Spanish, preferred.
  • Must complete the screening and medical onboarding process as required by our partner agencies.
  • Must be dependable, resourceful, and possess problem-solving skills.
  • Organized and meticulous with proven ability to handle multiple tasks in a fast-paced environment. Must be a team player with a positive “can-do” attitude.
  • Demonstrated ability to recognize the need for and facilitate connections between consumers and IL and other disability related services.
  • Must maintain confidentiality pertaining to all aspects of the Center’s operations including, but not limited to, consumer confidentiality.
  • Excellent customer service, telephone and typing skills.
  • Strong computer skills. Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint).
  • Excellent written and verbal communication skills.
