The Program Manager will be responsible for all aspects of the Titan Shops SmartAccess+ book bundle program. This position will ensure that the program is properly integrated within Canvas (campus LMS), VitalSource (content platform), and NetSuite (ERP) platforms. They will assist with related product ordering, inventory control, help negotiate price and terms, help secure textbook requisitions, respond to customer inquiries, and ensure positive vendor relations. This position must strive to identify the most efficient resources to achieve program goals. Other moderately complex tasks may be assigned as needed.

As a division of the CSUF Auxiliary Services Corporation, the mission of Titan Shops is to support the academic goals and strategies of California State University, Fullerton. Titan Shops is dedicated to providing students, faculty, staff, alumni, and fans with excellent customer service by offering quality products at competitive prices, while identifying new ways to enhance the campus community. All proceeds from Titan Shops operations are used to fund programs and services benefitting CSUF.

Essential Duties

  • Ensures proper system set up for each term as it relates to Canvas, NetSuite, and VitalSource platforms
  • Helps plan inventory flow, analyzes statistical data, and generates forecasting solutions to estimate future product demands and meet program goals
  • Maintain positive relationships with vendors and distributors to ensure the best acquisition terms
  • Works with the Senior Buyer to anticipate and maintain stock levels on adopted titles to ensure the program runs smoothly
  • Assists in reviewing enrollment figures, past sales history, inventory levels, and current requests to determine optional quantity to provide
  • Assists with placing course material purchase orders and products via phone, fax, and email to publishers, distributors, wholesalers, and other vendors
  • Works closely with the Senior Buyer to manage over-due shipments, trouble-shooting, and problem-solving of purchase orders and vendor returns
  • Fosters positive relationships with campus members to meet their needs, as well as ensure prompt processing of textbook requisitions and internal documents
  • Maintains a current knowledge on policies and procedures of vendors, distributors, and other sources of inventory
  • Participate in department physical inventory preparations and counts
  • Provides managerial support and excellent customer service
  • Promotes a positive environment of teamwork and respect within the department operations, programs, and services
  • Other duties and responsibilities as assigned

OTHER FUNCTIONS:

  • Know and follow all safety rules and procedures. Report any unsafe acts or conditions to the proper person.
  • Able to travel for training and professional growth
  • Typical work schedule is Monday – Friday, with evening shifts as assigned and occasional weekends
  • Assume store opening/closing duties as assigned.
  • Complete all assigned training (ASC, Campus, and Titan Shops) on or before required due dates to maintain compliance

ESSENTAL COLLABORATIONS:

Maintaining positive working relationships is essential to the success of the Titan Shops operation. Those relationships include both internal and external partners outside of the Demand Planning Division. Primary collaborators for success in this position include but are not limited to, the following:

  • Internal: Customer Service staff, Marketing staff, Operations Staff, etc.
  • External: Vendors, VitalSource, NetSuite, faculty, department coordinators, campus IT staff, etc.

Qualifications

  • Minimum four (4) years of working in a retail operation with customer service responsibilities (collegiate retail preferred)
  • Minimum two (2) years of working with digital content delivery platforms (VitalSource preferred)
  • Minimum two (2) years of working with computerized retail management systems (NetSuite preferred)
  • Ability to work with a large and diverse staff
  • Excellent customer service and communication skills
  • Attention to detail required as well as previous experience maintaining accurate records, managing multiple tasks, and organizing work to meet deadlines
  • Must be a self-starter, actively seek out resolutions, and proactively recommend solutions/provide feedback
  • Knowledge of standard stock control methods and techniques
  • Good computer knowledge including: Windows, Word and Excel. Knowledge of importing and exporting data is a plus
  • Must be able to professionally communicate with vendors, customers, and co-workers

EDUCATION:

  • Minimum Bachelor’s degree in business or computer science preferred, or a combination of experience and education

PHYSICAL DEMANDS:

Prolonged sitting in front of computer. Walking, talking, hearing, pulling, bending, ability to lift and carry 25+ pounds of objects/material. Ability to perform prolonged repetitive tasks.
