Summary:
Responsible for project management and reporting of a portfolio of CAF Canada projects, including day-to-day management of the CAF Canada Friends Funds portfolio. This position coordinates and assists with the vetting process, as well as liaising and stewardship of donors and assisting with various project administrative tasks. In addition to providing excellent customer service and being a strong project manager, the incumbent is responsible for maintaining knowledge in Canadian charitable regulations, international grantmaking, DAF/IPF regulations, and CAF Canada protocols in carrying out the following duties and responsibilities:
Duties and Responsibilities:
Program Administration
- Correspond with numerous charitable organizations to provide guidance for the application process and development of the Project Agreements funded from across streams of revenue, as well help answer general questions about our services.
- Draft and review Project Agreements (PA) in conjunction with CAF Canada policies and procedures
- Maintain shared filing, databases, and grants management systems that assist with tracking charity vetting and project agreements. Coordinate with Associate to ensure Project Reports are generated and distributed in advance of deadlines and tracking /following up for submission
- Responsible for reviewing the submitted reports to verify partners’ compliance with agreement (budget, deliverables, milestones) and regulations.
- Responsible for the timely recommendation of disbursements of funding for portfolio of project agreements, in line with project agreement reporting, payment schedules, and regulatory requirements. Escalate issues as appropriate,
- Maintains knowledge and understanding of Canada Revenue Agency (CRA) regulations and guidance, as they pertain to CAF Canada’s charitable objects, registered Canadian charities and international project funding
- Assists with creating reports and presentations as needed (i.e. Board and All Team Presentations; monthly CAF Canada Executive Report
- Various data entry and management responsibilities including online shared file system, Salesforce updates, adding new projects to our online list internally and giving platforms, updating advisor details/addresses in iPhi; adding required files to Google Drive
- Assists Sr. Director with projects as needed and provides back-up support across the CAF Canada team as needed.
Friends Fund Portfolio Management
- Manage the CAF Canada Friends Funds, including tracking of Project Agreements, funds donated and disbursed as well as interaction with donors and charities’ fund advisor representatives
- Monitor online listing of eligible Friends Funds projects, coordinating with Associate to update (add/remove) Friends Funds and projects as appropriate, and monitoring funds donated in line with approved project budgets,
- Assist eligible Friends Fund organizations with personalized donation forms and other relationship management requests.
- Maintains client correspondence, validation updates, invoicing, and monthly/quarterly disbursements.
- Providing a high level of service delivery and maintaining ongoing communication with charity clients across portfolios as well as fund holders
