The Project Support Specialist II takes on a more advanced role in assisting project managers and project teams. This role involves managing project documentation, tracking budgets, coordinating resources, and facilitating communications between stakeholders. Additionally, this position provides install more specialized support to internal and external (subcontracted) field services technicians, who and test security cameras, access control systems, and alarm systems. The Project Support Specialist II ensures project timelines are monitored and compliance with deadlines and deliverables is achieved while addressing technical or logistical challenges as they arise.
Key Responsibilities:
- Oversee project documentation, ensuring accuracy, consistency, and accessibility for project stakeholders.
- Track project budgets, monitor expenditures, and provide regular cost updates to project managers.
- Ensure smooth execution of project phases, through resource coordination.
- Serve as a higher-level support contact for field services technicians during the installation and testing of security cameras, access control systems, and alarm systems.
- Identify and resolve project-related issues, including logistical or technical obstacles, in coordination with site and customer contacts, members of the sales, and field services teams.
- Facilitate stakeholder communications, including preparing and distributing project updates and status reports.
- Monitor project timelines and ensure milestones and deliverables are completed on schedule.
- Assist with training customers on the operation and maintenance of installed systems when needed.
- Document lessons learned, best practices, and outcomes from completed projects to improve future processes.
Skills and Experience Needed:
- Advanced organizational and multitasking abilities.
- Strong understanding of project management frameworks (e.g., Agile, Waterfall).
- Proficiency in project management software and tools (e.g., MS Project, Smartsheet, Trello).
- Experience in tracking and managing project budgets and schedules.
- Strong interpersonal and communication skills for effective coordination across teams and stakeholders.
- Ability to troubleshoot and resolve technical or logistical issues during project execution.
- 3-5 years of experience in project support, project coordination, or a related field.
Education:
- High School Diploma or equivalent required.
- Associate degree or higher in project management, or a related field preferred.
- Certified Associate in Project Management (CAPM) required.
- Project Management Professional (PMP) preferred.
- OSHA 10 Certification required
