Position Summary & Responsibilities
Position Summary: Supervises, assigns, and reviews work of two (2) Administrative Specialists, two (2) Senior Administrative Assistants within the facility Records Office. Is responsible for the training, guidance, and problem solving concerning the work of all the Records office personnel. Is responsible to read, interpret and be knowledgeable of Kansas's statutes pertaining to crimes, sentencing, extradition and the mandatory detainer act and apply this to daily operation of the office. Is responsible to be knowledgeable of the operation procedures of the offender based State Corrections System. Responsible for coordination of work between Records office, other offices within the facility, the Department of Corrections, the Kansas Parole Board, other Correctional Facilities, and other outside agencies as required. Provides help and information of a technical nature concerning the records keeping development of records keeping to be performed by the computer.
Job Responsibilities may include but are not limited to the following:

Supervises, assigns and reviews work of two (2) Administrative Specialist, two (2) Senior Administrative Assistant and one (1) Administrative Assistant within the facility Records office. Is responsible for the training, guidance and problem solving concerning the work of all Records office personnel.
- Is responsible to be knowledgeable of the operation procedures of each subdivision within the records department and acts as the primary backup for each subdivision as needed.
- Ensures that all work is done on time and in accurate manner. Is responsible to read, interpret and be knowledgeable of Kansas statutes pertaining to crimes, sentencing, extradition and the mandatory detainer act and apply this to the daily operation of the office. Is responsible to be knowledgeable of the operation procedures of the offender based State corrections system. Identifies and initiates corrective actions as needed to maintain a high level of accuracy.
- Responsible for coordination of work between the Records office, other offices within the facility, the Department of Corrections, the Kansas Parole Board, other Correctional facilities, and other outside agencies as required. Provides help and information of a technical nature concerning the records keeping and sentencing to other facility employee and other agencies and departments as required. Assists the Department of Corrections Systems Analyst in the planning and development of records keeping to be performed by the computer.
- Responsible for the accurate processing of all court orders of a technical nature received into the facility including NUNC PRO TUNC orders, amended journal entries, jail credits, awarded and new sentences. All files must be changed and records updated to reflect the changes. Distribution of papers required and notification must be made to all departments and agencies concerned.
- Substitutes for the transfer coordinator in his/her absence. Maintains the time report for record office personnel. Answers form-9's requesting information concerning information and file information from the residents. Responsible for compiling information from security on the circumstances for an escape and making a report to the county attorney so that a complaint can be made and a warrant issued. Prepares the escape flyer with photographs and other appropriate information, which is compiled and mailed to the proper law enforcement authorities. Organizes and prepares necessary documentation for residents transferring to other correctional facilities and supervises the transfers of those residents. Performs other duties as assigned. Regularly emphasize ethical behavior by demonstrating good management practices. Must value the highest ideals of professionalism and public service in carrying out the duties and responsibilities.
Qualifications
Licensing & Certification: Valid Driver's License
Minimum Qualifications: Six months of experience in providing direction necessary to implement the objectives of an agency, program or organizational unit. Education may be substituted for experience as determined relevant by the agency.
Post-Offer, Pre-employment Requirements: Must take and pass a drug screening test approved the Division of Personnel Services unless the incumbent is moving from one safety-sensitive position to another safety-sensitive position within the same agency performing substantially similar duties. May be required to pass a background check.
