Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our small but mighty Real Estate Team. The ideal candidate will possess exceptional clerical skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires proficiency in calendar management, communication, and office administration, making it essential for maintaining the smooth operation of our office and the overall client experience
Duties
- Manage and maintain calendars, scheduling appointments and meetings while prioritizing conflicting demands.
- Handle incoming calls and correspondence, ensuring timely responses and appropriate follow-up.
- Prepare and proofread documents, reports, and presentations with a high level of accuracy.
- Ensure the client experience is smooth and transparent with an emphasis on consistent communication at all milestones and throughout the week.
- Maintain filing systems, both electronic and physical, ensuring easy access to important documents.
- Assist with various clerical tasks such as data entry, typing, and maintaining office supplies.
- Collaborate with other departments to facilitate communication and project coordination.
- Utilize various software platforms to enhance productivity and streamline processes.
Requirements
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong computer literacy with proficiency in Google Suite and office software applications, specifically Canva, and Lofty (or similar CRM). A strong social media understanding is also preferred.
- Excellent calendar management skills with the ability to prioritize tasks effectively.
- Exceptional proofreading skills with keen attention to detail in written communication.
- Familiarity with phone systems and professional communication etiquette.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Strong organizational skills with the capability to manage multiple priorities simultaneously.
- Previous experience on a high performing team is preferred.
