Recess Pediatric Therapy is seeking a full-time, in-office Regional Center & School-Based Therapy Coordinator to manage and support therapy services delivered through California Regional Centers and local schools. This individual will play a key role in ensuring timely communication, coordination, and documentation for all Regional Center and school-based clients.
The ideal candidate is detail-oriented, organized, and passionate about supporting children and families through high-quality therapy services. This role requires frequent collaboration with therapists, schools, and Regional Center representatives, and will report directly to the Clinical Services Manager.
Key Responsibilities
Coordination of Regional Center Services
- Serve as the main point of contact for all Regional Center-related referrals and authorizations.
- Coordinate intake, scheduling, and therapist assignment for clients referred through the Regional Center.
- Maintain up-to-date and accurate documentation for all Regional Center clients, including service logs, progress reports, and authorization tracking.
- Communicate with Regional Center staff to ensure compliance with timelines, reporting requirements, and service delivery expectations.
School-Based Therapy Coordination
- Liaise with local school districts and charter schools to coordinate the delivery of school-based therapy services.
- Manage scheduling and documentation requirements for therapists providing services in educational settings.
- Support therapists in maintaining compliance with IEP requirements, progress reporting, and communication with school staff.
- Track school contracts, hours served, and service delivery consistency.
Administrative & Communication Support
- Collaborate closely with the Clinical Services Manager to ensure smooth program operation and efficient workflows.
- Maintain organized client records and documentation in the EMR system.
- Ensure timely submission of required reports and updates to partnering agencies.
- Support therapists with administrative tasks related to school and Regional Center clients.
Qualifications
Education & Experience:
- Associate’s or Bachelor’s degree in a related field (Healthcare Administration, Child Development, Education, or similar preferred).
- Prior experience working in pediatric therapy, school-based services, or with California Regional Centers highly preferred.
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Professional, friendly, and confident when working with families, staff, and outside agencies.
- Proficiency in Microsoft Office, Google Workspace, and familiarity with electronic medical records (EMRs).
- Ability to work collaboratively with clinical and administrative teams.
Work Environment
- This is a full-time, in-office role based at Little Land Pediatric Therapy in Cedar Park, TX.
- Standard hours are Monday through Friday, 9:00 AM to 6:00 PM.
- Occasional off-site visits to schools or meetings with community partners may be required.
