Title: Service Business Development Administrative Assistant
Department: Service Department
Reports to: Service Manager and Service Assistant Managers
Supervises: N/A
Position Objectives:
The Business Development Administrative Assistant is positioned within our Service Department, and will assist and support the Service Department. Some of the tasks, skills/abilities, and tools that are needed to be a successful addition to this team are outlined below.
SKILLS:
- Ability to work in a team environment and collaborate with other team members
- Must be able to communicate both verbally and in written form in a professional manner (verbal communication will be in person and by phone)
- Must have a working knowledge of computer and email skills, including but not limited to Microsoft Outlook/360, Office, Word, and Excel
- This candidate will have good organizational skills
- Multitasking is essential to this position
- Must have a good driving record
TASKS:
- Conduct Follow-Up Calls to customers
- Keep whiteboards for the sales team updated regarding inbound sold orders, salesperson unit counts, monthly incentives, etc.
- Call, text, and email customers identified to be in market for various Curry and GM campaigns
- Download and review manifest lists provided by General Motors
- Assist with additional projects and needs within the Service Department, i.e. moving vehicles, driving vehicles to vendors, assisting Service Advisors, etc.
- Set appointments for customers and assist in turning those customers over to trained Service Advisors
- Additional tasks and responsibilities as needed
- General office duties include answering telephones and taking messages.
- Provide basic information to callers who have general inquiries.
- Greet all customers in a timely and friendly manner.
- Schedule appointments as efficiently as possible in accordance with dealership policy.
- Communicate with the Service Manager regarding progress with work projects and activities.
- Update customer rental information to appropriate parties for loaner vehicles.
- Establish and maintain good working relationships with customers, vendors, and co-workers.
- Ensure that all documents are accounted for.
- Be courteous and respectful of fellow employees and strive to maintain a pleasant work environment.
- Other duties as assigned.
Required Qualifications:
· Experience in front desk or receptionist work.
· Working knowledge of body repair methods preferred.
· Excellent oral and written communication skills.
· Ability to read and comprehend instructions and information.
· Ability to learn and comprehend dealership computer system to include data entry.
· Computer data entry experience.
· Ability to multi-task.
· Professional personal appearance.
Working Conditions:
· Sitting at a desk for the majority of the eight-hour shift. May also be required to work throughout the Service Department.
· Using office equipment, the majority of the eight-hour shift to include computer, telephone, typewriter, copier, fax, calculator, etc.
· Exposure to noise, vibration, high volume of activity, etc.
Job Type: Full-time
Pay: From $15.00 per hour
