Position Summary
The Service Coordinator plays a vital administrative role in supporting the daily operations of the Service Department. This position is responsible for coordinating service requests, managing documentation, supporting billing processes, and ensuring effective communication between customers, service technicians, and department leadership. The Service Coordinator must be highly organized, customer-focused, and able to thrive in a fast-paced environment.
Essential Functions
- Serve as a key point of contact for service technicians, managers, and customers, both over the phone and in person
- Provide professional, courteous, and responsive customer service to internal and external stakeholders
- Coordinate service scheduling between customers and service personnel
- Create and manage work orders and job numbers accurately and promptly
- Process service department billing and maintain accurate billing records
- Gather and input essential service work order information (e.g., customer contact, service requests, job details)
- Develop service proposals and quotes to support the Service Department Managers
- Organize and maintain service-related documents in accordance with department standards
- Demonstrate professionalism, integrity, and a positive attitude in all interactions
- Collaborate with and provide backup support to other team members as needed

Supervisory Responsibility
This position has no direct supervisory responsibilities.
Work Environment
This job operates in a professional office environment. The role routinely uses standard office equipment including computers, phones, software systems, photocopiers, and filing cabinets.
Physical Demands
While performing the duties of this job, the employee is regularly required to talk or hear. Frequent standing, walking, use of hands to handle objects, and reaching with arms is expected. The employee may sit for extended periods and occasionally climb stairs. The role may require lifting and moving up to 10 pounds. Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Position Type and Expected Hours of Work
This is a full-time position. Standard hours are Monday through Friday, eight hours per day during core business hours.
Required Education and Experience
- High school diploma or equivalent
- Experience in construction service billing or customer service
- Proficiency in Microsoft Office Suite, particularly Word and Excel
Preferred Education and Experience
- Minimum of 3 years of experience in an office environment; service construction industry preferred
- Experience with Vista ERP systems is a plus
